About the role

Overview

The GME Institutional Program Manager provides leadership and operational oversight for Graduate Medical Education (GME) programs, ensuring institutional excellence in accreditation, compliance, program administration, and educational quality. Working collaboratively with the Designated Institutional Official (DIO) and GME Director, this position manages accreditation activities, supports program operations, coordinates institutional educational initiatives, develops professional training programs, and oversees compliance with ACGME and regulatory requirements. The role serves as a strategic resource for resident and fellow support, wellness initiatives, data management, and institutional planning, helping to ensure the successful administration and advancement of graduate medical education programs.

Responsibilities

  • Graduate Medical Education (GME) Operations & Governance
    • Support Graduate Medical Education Committee (GMEC) operations, including agenda development, meeting preparation, documentation, and follow-up.
    • Support institutional committees, task forces, wellness initiatives, and cross-program collaboration to advance GME strategic priorities.
    • Assist the Director and DIO with institutional initiatives, policy implementation, and continuous quality improvement efforts.
  • Accreditation, Compliance & Regulatory Oversight
    • Manage institutional and program compliance with ACGME, state, and organizational accreditation requirements.
    • Coordinate and prepare accreditation submissions, including ADS updates, Annual Program Evaluations (APEs), site visits, special reviews, complement changes, and new program applications.
    • Monitor compliance with case logs, leave policies, milestones, and other regulatory requirements, identifying risks and supporting corrective actions. Serve as support in duty hour compliance management.
    • Ensure consistency and accuracy of institutional data across accreditation systems and residency management platforms.
  • Program Administration & Operational Support
    • Partner with Program Directors and Program Coordinators to optimize program operations, workflows, and administrative processes.
    • Oversee resident and fellow lifecycle activities, including onboarding, orientation, transfers, graduations, final evaluations, and maintenance of trainee records.
    • Manage Program Letters of Agreement (PLAs) and affiliated training site documentation to ensure regulatory compliance.
  • Education, Training & Professional Development
    • Develop, coordinate, and deliver training and professional development programs for Program Coordinators, faculty, and institutional leaders.
    • Provide education on residency management systems (e.g., New Innovations, ERAS, Thalamus), accreditation standards, evaluation processes, and GME best practices.
    • Identify professional development needs through compliance reviews, program performance metrics, and institutional assessments.
  • Program Evaluation & Continuous Quality Improvement
    • Support programs in developing, implementing, and improving evaluation systems for residents, fellows, faculty, rotations, and educational programs.
    • Analyze program performance data and recommend strategies to enhance educational quality, compliance, and operational effectiveness.
  • Educational Programming & Events
    • Plan, coordinate, and evaluate institutional GME educational programs, orientations, conferences, workshops, graduations, and special events.
    • Manage logistics including scheduling, speaker coordination, CME applications, marketing, registration, venue planning, educational materials, and program evaluation.
    • Collaborate on the development of innovative educational initiatives and revenue-generating CME programming.
  • Resident/Fellow Support & Wellness
    • Support trainee wellness initiatives through collaboration with our GMEC wellness committee,  institutional wellness committees, and clinical site leadership.
    • Assist Program Directors with resident/fellow remediation, corrective action processes, and sensitive learner support while maintaining confidential documentation and tracking.
  • Data Management & Reporting
    • Maintain accurate institutional databases and residency management systems to ensure data integrity and timely reporting.
