The Role:
This is a unique role that blends both leadership team administrative work and office support in our brand new Detroit office located in Corktown. We’re seeking a skilled executive administrative coordinator to deliver efficient administrative support to multiple leadership team members (2-3) in a well-organized and timely manner. In the office administrative role, you’ll be the first point of contact of internal and external people for our office area and oversee the daily operations of an office environment. As an individual contributor, you’ll provide personalized assistance and smooth office operations.
This role requires an in-office presence on a daily basis. The ideal candidate is someone who is comfortable being self-directed and operating in a fast-moving yet collaborative environment, embraces continuous learning and values a healthy team culture.
Requirements
Executive Administrator Responsibilities:
- Maintain schedules and calendars, arrange meetings and appointments and provide reminders.
- Organizing travel by booking accommodation and reservation needs as required.
- Help prepare and submit expense reports.
- Take dictation and meeting minutes and accurately enter data.
- Create presentations, as assigned.
- Exercises discretion, independent judgment and confidentiality with matters of significance and to handle issues that are referred to the leadership team.
Office Coordinator Responsibilities:
- Act as the point of contact between Canopy and building office support team.
- Provide general support to Canopy visitors.
- Implementing and maintaining office policies and administrative systems
- Organizing meetings, events or conferences and other internal/external events that require attention.
- Assist in the onboarding process for new hires local to the Detroit office.
- Liaising with employees at all levels, including thea leadership team.
- Ensuring that office supplies and resources are stocked and replenished and that any packages or shipments are delivered successfully.
- May assist in administration of health and safety procedures
- Recording office expenditure and managing the budgets.
This role will be great for you if you have:
- Proven experience as an Executive Assistant, Office Coordinator or in another business coordinator position.
- Excellent verbal and written communication skills.
- Strong interpersonal skills and ability to build rapport quickly.
- Excellent organizational skills and strong attention to detail.
- Ability to function well in a fast-paced and at times stressful environment.
- Ability to manage shifting priorities and prioritize daily workload.
- Exemplary planning and time management skills.
What would set you apart from others is:
- A bachelor’s degree in business or related field
- Full comprehension of Google Workspace
- Experience in business analysis or a related field.
- Experience with a breadth of business processes (Finance, HR, etc.) is a plus.
- The ability to influence stakeholders and work closely with them to find acceptable solutions.
