We are looking for someone who can truly identify with our mission and project the organization's passion for what we do and who we serve in the community to join our Quality Assurance Team as an Executive Assistant.

Job Summary: Provide administrative support for the Quality Improvement (QI) department. The executive assistant will track information related to agency-wide QI functions, including incident reporting, complaints, contracts, surveys, trainings, audits, investigations, compliance, and the recording and maintenance of meeting minutes. Also, act as a knowledge expert on HIPAA and PI-related matters while compiling agency and program-related data and metrics and producing reports for leadership teams and the Board of Directors (BOD).

Major Responsibilities:

  • Assist the CQIO in planning, directing, managing, and coordinating QI activities and provide administrative support, including scheduling and organizing meetings.
  • Compile, analyze, and maintain agency data, metrics, and QI summaries for reports, including BOD and QAPI plan updates.
  • Ensure compliance with federal and state privacy laws, manage information confidentiality, and handle requests, training, audits, breaches, and investigations.
  • Coordinate and attend QI, Safety, and Human Rights meetings, record and distribute minutes, and act as the first line of communication for the QI team.
  • Prepare presentations, utilize editing tools for accuracy, and establish and maintain a document management system.
  • Develop collaborative relationships across divisions, act as a resource to staff, and conserve the team’s time by managing correspondence and information flow

Qualifications:

  • 4+ years in administrative support, preferably in Human Services
  • Associate degree in a related field
  • Familiarity with HIPAA and HITECH
  • Proficient in Microsoft Office, especially Excel
  • Excellent communication and interpersonal abilities
  • Strong Organizational skills, proactive, and able to handle confidential information discreetly

Physical Demands:

  • Requires someone to sit for long periods, talk on the phone, and enter information into the computer for at least 70% of their day.

Work Environment:

  • Work performed in an office environment.

Work Schedule:
Monday to Friday, 8:00 AM to 4:30 PM

Pay Rate:
$27/ per hour
