WHO WE'RE LOOKING FOR
The Administrative Assistant, Admin Corps is part of a team that performs administrative duties and project coordination for the Membership & Industry Relations and Awards departments. This team pivots between the two departments on a scheduled basis throughout the year.
The Administrative Assistant produces high quality, low error work and maintains the highest level of confidentiality and discretion. You are able to maintain your composure in high-stress, complex situations and have excellent decision-making skills. You are a clear communicator with a great demeanor and phone etiquette skills. You are able to be patient with challenging callers as well as with internal and external stakeholders.
WHAT YOU'LL DO
- Membership & Industry Relations: Research, analyze, and write non-biased career summaries for submissions; Data entry in TRAMM database; Ensure member confidentiality.
- Awards: Assist with verification of entries; Code entries; Assist with onsite and off-site Screening Meetings including setup, DJ duties, and break down; Ship and track certificates and GRAMMY statues; Inventory database; Create and distribute certificates; Rip audio files.
- Effectively communicate in writing, email, over the phone, etc. with both internal and external stakeholders.
- Coordinate and manage various department projects.
- Other Duties as assigned.
SKILLS & EXPERIENCE
- Bachelor’s Degree preferred. Prior GRAMMY U involvement a plus.
- Previous administrative assistant experience.
- Strong proficiency in Outlook, Word, Excel, PowerPoint and other Microsoft applications. Experience with databases (e.g. TRAMM, etc.).
- Excellent organizational skills and attention to detail with the ability to keep information organized and accessible.
- Ability to manage multiple projects efficiently, prioritizing tasks appropriately and managing time well.
- Must be an independent problem-solver with the ability to successfully establish goals, deadlines, and procedures.

SALARY AND BENEFITS
The starting rate for this position is $21.05 to $22.73 per hour, benchmarked against industry standards. Rates for positions required to be in specific geographic locations reflect the corresponding labor market.
