About the role

The Administrative Assistant provides comprehensive administrative support to the Oncological Science Department at the Icahn School of Medicine. This position is integral in ensuring the efficient operation of the department by assisting faculty, researchers, staff, and students with various administrative tasks. The role requires excellent organizational skills, a proactive approach to problem-solving, and the ability to communicate effectively across a multidisciplinary team.   • Maintain and organize departmental calendars, ensuring proper coordination of events, seminars, and lectures.
  • Prepare and edit correspondence, presentations, reports, and other documents as needed.
  • Coordinate and assist with special events such as conferences, symposia, workshops, and conference room calendar scheduling.
  • Prepare and f/u purchase orders, check requests, reimbursements, travel arrangements and accommodations for guest speakers.
  • Screen and direct phone calls, emails, and other correspondence to appropriate personnel.
  • Handle confidential and sensitive research data following HIPAA and institutional confidentiality policy.
  • Coordinate travel arrangements for faculty, researchers, and visiting scholars, ensuring adherence to institutional policies.
  • Maintain office supplies and assist with ordering materials for clinical or research purposes.
  • Provide administrative assistance to researchers, including document management, data entry, and coordination of research meetings.
  • Assist with weekly payroll, handle faculty and staff timesheets and attendance records.
  • Update TV monitor.
  • High school diploma or equivalent; Associate degree or higher preferred.
  • 2-3 years of administrative experience in a medical, academic, or research setting (oncology or healthcare experience preferred).
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant office software.
  • Knowledge of medical terminology, particularly in oncology, is a plus.
  • Ability to handle confidential and sensitive information with discretion.
  • Exceptional organizational and time-management skills, with the ability to prioritize tasks in a fast-paced environment.
  • Excellent verbal and written communication skills.
  • Ability to work independently and as part of a team.
  • Strong attention to detail and problem-solving skills.

Preferred Qualifications:

  • Experience in academic or clinical research environments.
  • Previous work in a cancer research or clinical setting would be a plus.
  • Familiarity with HIPAA regulations and confidentiality protocols.
