This is a temporary role for approximately three months. Coordinate and perform a wide variety of administrative tasks to support the chairperson and department manager on behalf of the Chemistry Department. Close attention to detail, high professional standards and respect for confidential and/or sensitive information, excellent time management and prioritization skills, and the ability to interact well across all levels of staff and faculty within and outside of the university is extremely important in this role.Job Description
Primary Duties & Responsibilities:
- Schedules diverse and complex appointments for the department chair, including meetings and travel arrangements. Prepares complex itineraries for multiple constituents for chair/department hosted meetings and events. Prioritizes and maintains daily appointment calendar for chair and department manager. Handles all meeting details, confirmations and back-up materials.
- Draft and finalizes letters, email messages, agendas and meeting minutes, and other communications. Initiates, writes, creates and reviews various communications such as announcements, event schedules, departmental information, and regular mailings. Double checks all work for accuracy. Documents created require little additional review.
- Coordinates all administrative aspects of the tenure process. Communicates with tenure/promo candidates, gathers documentations per university guidelines, ensures all documents are correct and adherent to policy, compiles and submits for review tenure/promo packets in full. Gathers letters from internal and external sources. Handles all tenure/promo information with strict confidentiality and care.
- Prepares and submits travel, event and other expenses to accounting department according to guidelines. Adheres to event budget.
- Provides general administrative support to the chair, department manager, and across the department; ensures all department protocols are followed, answers general questions, provides solutions and referrals; serves as liaison to and assists faculty with general needs and logistical support. Ensures all inquiries are addressed and resolved. Treats all department information with a high level of professionalism, especially confidential and/or sensitive information.
