The Operations Support Coordinator is responsible for ordering and auditing recurring services at different stages of property lifecycles and tenant occupancy for the AMH portfolio. This position interacts with vendors on a daily basis, as well as various other internal departments such as, Maintenance, HOA, Accounts Payable, Utility Team etc. In addition, this position helps negotiate pricing and ensures quality service from company vendors.
Responsibilities:
- Tracks services necessary for each assigned property; orders secondary services such as lawn care, pool maintenance and repair, back flow testing and repair, snow removal; tracks winterization data; updates statuses as appropriate once service has been ordered from vendors.
- Creates bulk purchase orders; submits bulk purchase order and property lists to vendors to order service.
- Receives and confirms vendor invoices: audits Yardi to ensure line items are received and totals invoice amounts match; works with Accounts Payable to resolve vendor invoice issues; audits invoices received from internal sources; confirms invoice complies with AH4R billing standards; verifies work has been performed; completes the associated purchase order; creates any change orders needed; audits aging purchase orders; follows up with the vendor regarding any applicable aged purchase orders; requests updates; researches vendor inquiries regarding unpaid invoices; reconciles unpaid invoices.
- Maintains correspondence with other departments and vendors to assist with questions and requests; identifies and resolve points of process failure; reviews daily reports to measure key aspects of existing process effectiveness and provide system change recommendations
- Reviews all winterization/de‐winterization documentation; provides reports identifying exposure to possible damage in cold weather markets; monitors weather conditions; submits weather delay notifications.
- High School diploma or GED required.
- Working knowledge of Microsoft Office (Word, Excel and Outlook) required.
- Minimum of two (2) years of experience working in a real estate, legal, procurement, purchasing, vendor management, property management, construction or related environment required.
- Minimum of two (2) years of administrative or clerical experience managing multiple deadlines required.
- Prior experience in vendor management preferred.
- Working knowledge of Yardi Voyager and/or CRM Dynamics, highly desirable
