POSITION SPECIFICS
The Pennsylvania State University is seeking a candidate for an Administrative Assistant - Intermediate Support in Eberly College of Science's Department of Biochemistry & Molecular Biology. The Administrative Assistant will be a detailed oriented and organized individual who will provide direct administrative and professional support. This position will perform complex tasks with minimal supervision. The successful candidate will be responsible for the following:
- Provide leadership to the planning and facilitation of support activities for an office or work unit
- Respond to routine and moderately complex questions/issues concerning unit/University policies, processes, and procedures from internal and external contacts
- Create and maintain files, databases, and reports
- Monitor and maintain budgets; track expenditures for seven research faculty members along with their lab personnel and graduate students.
- These tasks require knowledge in Simba, PSUBuy and SAP Concur Penn State systems
- Examples of these tasks are purchasing card reconciliation, purchase orders and other financial-related job assignments.
- Generate, prepare, and maintain reports and spreadsheets, and authorize processing of payments
- Compile and organize information to develop agendas, meeting materials, and reports
- Arrange meetings; lead coordination and planning of special events, conferences, and other functions
- Support the planning and coordination of moderately complex projects
- Serve on various committees; prepare agendas, take and compose minutes
- Develop website content and maintain web pages
