About the role

Responsible for providing college-wide training, support and maintenance of various HR employee-related systems, including Oracle HRIS/Payroll, Onboarding, E-Verify, SURS, Banner, and more. Serves as the initial HR contact for employees, internal departments and external vendors, providing outstanding customer service in person, online and by phone. Provides administrative support to the Human Resources Department concerning system maintenance, file and database recordkeeping and miscellaneous state reporting.

Provides support for various HR functions, including employment records, recruitment, onboarding, SURS, HRIS/Payroll, and more.

Serves as a primary human resource contact as needed; handles employment-related inquiries from applicants, employees, managers and outside verifications, referring complex and/or sensitive matters to the appropriate staff if necessary. Provides guidance and shares knowledge with other Human Resources staff regarding policy and procedure questions.

Trains supervisors, managers, and other staff to utilize the applicant tracking system as appropriate. This includes one-on-one training as well as group workshops.

Provides ongoing technical assistance to applicants and departments utilizing the on-line employment system, as well as verifying and preparing proper applicant paperwork; such as, transcripts, letters of recommendation, teaching statement, etc.  System involvement also includes scanning hard copy documents and attaching appropriately to the system.

Recommends updates to the system and monitors service requests. Ensures related compliance with appropriate rules, regulations, and reporting. Research and makes recommendations for developing other modules of the system to use it to its full functionality.

Researches and makes recommendations for developing other modules of the system to use it to its full functionality. Attends training, communication forums on the Oracle system to maintain knowledge of current and upcoming implementations and system features.

Troubleshoots/resolves problems with employment process, the applicant tracking system and the background check vendor as needed. Reports system issues to appropriate vendors and tracks progress.

Evaluates new system functionalities to determine usability in the Harper process. Provides software testing assistance as necessary

Maintains compliance with federal, state, and local employment laws, regulations and recommended best practices; reviews policies and practices to maintain compliance. Maintains knowledge of HR trends, best practices, and new technologies.

Updates and maintains Human Resources databases, reports, spreadsheets and lists; designs and maintains various record keeping systems; composes/runs a variety of routine/ad hoc reports for department management and analyzes data to make recommendations to management for action.

Assists with the creation of board document exhibits, faculty and administrator contracts and annual employment documents, i.e. sabbatical documents.

Maintains required training, licensure, and/or certifications.

Maintains confidentiality of privileged information and adheres to applicable privacy laws

Demonstrates sensitivity, understanding, and respect for diverse populations within the workplace.

Maintains an understanding of the work of colleagues to effectively provide backup and/or support for co-workers during times when the division is short-staffed or experiencing an increased volume of work.

Adheres to department guidelines for attendance and punctuality.

Performs related duties as assigned.
 

Education: High school graduate or equivalent with basic computer skills. Associates degree preferred. Public Notary license desired and willing to obtain within first year of hire.

Experience: Two years of customer service and general office experience required with human resources related experience preferred. Proficiency with Microsoft Word and Excel required. Excellent customer service and communications skills required. Bilingual skills a plus
