Role Overview
- We are seeking a proactive, detail-oriented, and highly organized Executive Assistant to support our C-suite executives. This individual will help to ensure smooth and efficient operations. The ideal candidate is adaptable, has excellent communication skills, and is capable of managing multiple priorities in a fast-paced environment.
Responsibilities
- Calendar Management: Coordinate and manage the executive’s complex calendar, including scheduling meetings, appointments, and travel. Prioritize and ensure time management efficiency.
- Communication Liaison: Act as the primary point of contact for the executive, fielding inquiries, managing correspondence (email, phone calls, etc.), and drafting communications on behalf of the executive.
- Office Management: Schedule office space use among different teams, manage office equipment and order supplies as necessary. Retrieve and distribute mail. Maintain an accurate asset inventory. Oversee company software use and purchase.
- Meeting & Event Coordination: Organize and prepare materials for meetings, conferences, and special events. Take notes and follow up on action items as required.
- Document Preparation: Prepare, proofread, and edit reports, presentations, memos, and other documents for executive review.
- Task & Project Management: Support the executive with ongoing projects, track deadlines, and follow up on deliverables. Assist in research and data collection as needed.
- Confidentiality & Discretion: Handle sensitive and confidential information with the highest level of professionalism and discretion.
Qualifications
- Experience: Minimum of 2 years as an executive assistant, administrative assistant, or similar role, supporting senior-level executives.
- Education: A minimum of a high school diploma. A Bachelor’s degree in business administration, communications, or a related field is preferred.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), Google Workspace, and other office software/tools. Experience with project management and communication tools.
- Communication Skills: Strong verbal and written communication skills with the ability to communicate effectively across all levels of the organization and externally.
- Organizational Skills: Exceptional time management and organizational skills, with the ability to prioritize and manage multiple tasks simultaneously.
- Problem-Solving: Ability to anticipate needs, think critically, and offer solutions to unexpected challenges.
- Interpersonal Skills: High emotional intelligence, professional demeanor, and the ability to work with a diverse group of individuals.
Working Conditions:
- Full-time, in-office position. Working location is 12788 Grant Road, Cypress, TX 77429.
- May require occasional evening or weekend work for urgent matters.
