Job Description:

DEPARTMENT:                Chancellor’s Office

SUPERVISOR:                   Senior Executive Assistant to the Chancellor

PURPOSE:                           The purpose of this position is to serve as the university’s primary front-line point of contact, ensuring every caller and visitor is greeted professionally and connected quickly to the right person or location. This role manages the main phone line and directs Abrams Hall traffic efficiently, creating a smooth, welcoming, and well-coordinated experience for students, staff, and guests. By providing accurate information and dependable administrative support, the receptionist helps the campus function with clarity, safety, and courtesy.
 

RESPONSIBILITIES:

  • Manage the university’s primary phone line by promptly answering, screening, and routing incoming calls to the appropriate departments or staff.
  • Direct students, visitors, vendors, and guests to the correct offices, classrooms, or meeting locations while maintaining a welcoming front-desk presence.
  • Assist callers and walk-ins by providing accurate general information about campus services, office hours, events, and basic procedures.
  • Responsible for maintaining a professional, organized reception area that reflects the university’s standards and supports smooth traffic flow.
  • Assist Chancellor’s Office in scheduling or confirming appointments for designated offices, as applicable, and communicates updates to relevant personnel.
  • Manage incoming and outgoing mail, packages, and deliveries, ensuring items are date-stamped, logged, and distributed efficiently as applicable.
  • Direct emergency or time-sensitive calls and in-person concerns to the correct authority using established escalation protocols.
  • Assist Chancellor Office, as well as other university staff with basic administrative support, such as copying, scanning, filing, and preparing routine documents.
  • Coordinate room access or wayfinding support for events, meetings, and campus tours, including providing maps or directions as needed.
  • Manage communication tools (phone system, digital displays/directory, email inbox, visitor system) to ensure accurate routing and timely responses.
  • Assist with maintaining updated contact lists, office directories, and signage so individuals can be efficiently guided where they need to go.
  • Other duties as assigned by supervisor.

REQUIRED QUALIFICATIONS:

  • An Associate or bachelor's degree is preferred.
  • Strong verbal and written communication skills, with a clear, professional phone manner.
  • Excellent customer service and interpersonal skills; able to stay calm and helpful under pressure.
  • High level of organization and attention to detail for managing visitors, calls, and administrative tasks.
  • Ability to multitask, prioritize, and switch tasks quickly in a fast-paced front-desk environment.
  • Working knowledge of basic office technology and software (Mirosoft Outlook, Word, Excel, etc.)
  • Reliability, discretion, and professionalism when handling sensitive information and campus inquiries.
  • Basic problem-solving skills and good judgment for routing issues to the correct office or authority.

OFFICE HOURS:  Eight (8) hours per day, Monday–Friday, 40 hours per week. Additional hours worked as needed.
