This advertisement is for a Career Service position 20-0 Ft. Myers Circuit in the Education Department

 

Salary: $35,175.40 annually

 

SALARY WILL BE DETERMINED IN ACCORDANCE WITH CURRENT PAY POLICY.

 

SPECIFIC DUTIES & RESPONSIBILITIES:

  • Records, transcribes, and distributes concise meeting minutes for the Circuit Administrator and Deputy Circuit Administrator.
  • At the direction of the Circuit Administrator and/or Deputy Administrator, prepares drafts of standard operating procedures, administrative decisions, and procedural memoranda for review, analysis, and approval.
  • Manages a multi-line telephone system by answering calls promptly and politely; screening and transferring calls appropriately; and documenting messages given for distribution to the intended recipient.
  • Responsible for typing and arranging correspondence as dictated by the Circuit Administrator or from rough draft. Compose and type correspondence of a confidential nature and provide technical assistance to the Circuit Administrator.
  • Maintains a calendar of events for the Circuit Administrator and/or Deputy Circuit Administrator which require his/her attendance. Such events include but are not limited to training events, seminars, meetings, conferences, scheduled field visits, and interviews.
  • Compiles and analyzes information to formulate administrative recommendations. Prepares quality management tools, prepares charts, bar graphs, etc., for leadership use in making data driven decisions.
  • Collects or coordinates the collection of budget information and monitoring of expenditures of field offices in major budget areas, including but not limited to, travel expenses, supplies, equipment, and postage.
  • In the absence of the Circuit Administrator or Deputy Administrator: courteously interacts with the public and field offices to answer basic questions regarding rules, regulations, policies, procedures, and practices; or coordinates a response from the appropriate delegate determined by the Circuit or Deputy Circuit Administrator for response.
  • Compiles data from the field and recapitulates into circuit reports on a monthly and annual basis.
  • Open, date and distribute daily mail to Circuit Administrator and/or Deputy Circuit Administrator. Copy and distribute mail/correspondence to appropriate workstations after Circuit Administrator and/or Deputy Circuit Administrator review.
  • Coordinates the procurement of office supplies for the Circuit Office.

KNOWLEDGE, SKILLS & ABILITIES:

  • Knowledge of standard office procedures and practices.
  • Ability to problem-solve effectively.
  • Skills in data collection techniques.
  • Knowledge of accurate spelling, grammar, written and oral communication techniques, and basic arithmetic.
  • Ability to establish and maintain effective, productive working relationships with others.

REQUIRED QUALIFICATIONS:

  • Two years’ professional or nonprofessional experience in parole, probation sworn law enforcement, public investigations, clemency, victim services work or corrections work.
