The Gilchrist Law Firm is seeking a National Title Processor to join our Real Estate team. This is an on-site position that offers an exciting opportunity to take on a leadership role in the management and processing of real estate transactions. The National Title Processor will provide expert guidance and support in all aspects of real estate transactions, working closely with clients, the Real Estate Attorney, and other stakeholders. The ideal candidate will have extensive experience in title processing, a thorough understanding of the real estate industry, and the ability to manage complex transactions independently.
Responsibilities:
- Oversee all stages of real estate transactions, from the opening of files to the issuance of title policies, ensuring compliance with legal regulations and company policies.
- Monitor, report, and disburse third-party invoices, ensuring accurate and timely payments in coordination with Vice President/bookkeeping using BillPay for real estate-related transactions.
- Conduct thorough reviews of real estate documents, contracts, and agreements to identify potential risks and ensure compliance with all applicable laws and regulations.
- Perform due diligence investigations on properties, examining title history, ownership rights, and other critical factors related to the transaction.
- Act as the primary point of contact between clients and the Real Estate Program Manager, ensuring seamless communication and timely resolution of issues.
- Assist with the development and maintenance of Standard Operating Procedures (SOPs) for the department, ensuring consistency and efficiency in processing transactions.
- Maintain accurate records of real estate transactions, preparing and tracking status reports to keep all stakeholders informed of project progress.
- Supervise and mentor junior staff members in the Real Estate Department, providing guidance on daily tasks, professional development, and quality assurance.
- Provide general support as needed and perform other duties to ensure the department’s objectives are met efficiently.
- Minimum of 5 years of professional experience in title processing or a related field.
- Notary Public certification (Required).
- Bilingual proficiency (Spanish preferred).
- Proficiency in QuickBooks and experience with Closing Vue software.
- Strong understanding of the real estate industry and familiarity with industry-specific software and legal regulations.
- Demonstrated experience handling complex real estate transactions and providing expert guidance throughout the process.
- Proven ability to manage multiple projects simultaneously while maintaining accuracy and meeting deadlines.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Excellent written and verbal communication skills, with the ability to compose professional correspondence and documents.
- Outstanding organizational and time-management skills, able to prioritize tasks and work with minimal supervision.
Preferred Qualifications:
- Familiarity with real estate financing mechanisms and lending practices.
- Experience conducting due diligence investigations and title examinations.
- Strong problem-solving skills and the ability to navigate complex real estate issues.
- Ability to work collaboratively with clients, legal teams, and internal stakeholders.
- Client-focused mindset with a commitment to delivering exceptional service and maintaining positive client relationships.
