JOB DESCRIPTION AND POSITION REQUIREMENTS:
The Office of Entrepreneurship and Commercialization (OEC) is looking for a Financial Associate to aid in managing a substantial portfolio of entrepreneurial and economic development programs. This role involves processing various financial transactions and ensuring compliance with established internal control and financial management systems.
Responsibilities may include specializing in areas such as accounts receivable, accounts payable, expense processing, invoicing, reconciling PCards, submitting purchase orders, and managing contracts and agreements for guests.
Reporting to the Director of Administration, the Financial Associate will collaborate closely with PennTAP, the Small Business Development Center (SBDC), OriginLabs, Startup Leadership Network, Happy Valley LaunchBox, the LaunchBox and Innovation Network, the Invent Penn State Marketing teamadministrative support staff, and program directors to provide a wide range of financial services.
Key Responsibilities:
- Provide financial support to ensure efficient workflow and processes, including monitoring budgets and processing financial transactions in various systems such as PSUBuy, SIMS, SIMBA, Lion Marketplace, SAP Concur, and eSteward.
- Prepare and reconcile travel reports and expenses for senior administrators and the unit.
- Reconcile credit card transactions for the entire OEC program portfolio.
- Prepare and post journal entries.
- Manage the general ledger to ensure proper account classification.
- Process vendor invoices and contracts for payment.
- Process guest presenter agreements.
- Perform cash handling functions and check deposits as needed.
- Prepare and send customized invoices for the Eric J Barron Innovation Hub Event Space.
- Manage OriginLabs and the Eric J Barron Innovation Hub Event Space, including maintaining membership lists, recording check deposits, and reconciling credit card transactions for membership payments.
- Coordinate contract submissions for Risk Management/Procurement and other central offices for OEC, SBDC, Happy Valley LaunchBox, Invent Penn State Marketing Team, Start-Up Leadership Network, and OriginLabs.
- Coordinate budget and spending with contacts from 21 LaunchBoxes and Innovation Hubs to ensure expenditures from the Invent Penn State funding are allowable, allocable, and reasonable.
- Respond to routine and moderately complex questions regarding unit and University policies, processes, and procedures.
- Maintain knowledge of award terms, conditions, and deliverables, and understand the work performed by the unit.
- Research financial issues and assist the OEC Accountant with reporting for OEC programs as needed.
