Job Overview
The Operations Support Specialist provides critical support to ensure the smooth and efficient operation of the manufacturing plant. This role involves coordinating administrative processes, supporting site security and emergency systems, assisting in communication and training activities, and serving as a liaison across departments including production, maintenance, safety, and HR. The ideal candidate is highly organized, detail-oriented, computer-skilled and able to manage multiple priorities in a fast-paced environment.
Key Responsibilities:
Operational & Administrative Support
• Assist operations leadership with daily task coordination and activity tracking.
• Prepare reports, dashboards, and presentations using data from various departments.
• Maintain and update operational logs, forms, and communication boards.
Security & Access Management
• Issue, activate, and deactivate employee and visitor access badges.
• Monitor and manage access control systems; coordinate with security vendors as needed.
• Maintain accurate logs of access permissions and respond to security-related requests.
Emergency Response & Safety Coordination
• Maintain and update Emergency Response Team (MERT) and evacuation team rosters.
• Coordinate required annual safety drills and emergency training.
• Support site safety inspections and compliance documentation.
Facilities & Services Coordination
• Submit and track maintenance and facilities work orders.
• Coordinate office setups, moves, and equipment needs for team members.
• Support inventory and ordering of site supplies (PPE, cleaning materials, first aid, etc.).
Employee Support & Communication
• Assist with onboarding of new employees (badge setup, workspace, supplies).
• Coordinate well-being and engagement initiatives (e.g., appreciation days, events).
• Help distribute internal communications and maintain bulletin boards/digital displays.
Documentation & Compliance
• Maintain updated records of training, certifications, and compliance audits.
• Organize and store standard operating procedures (SOPs) and safety documentation.
• Support audits by preparing and submitting necessary documentation.
What your background should look like
- High school diploma or equivalent; associate degree preferred.
- 3+ years of experience in administrative, operations, or plant support role (manufacturing environment preferred).
- Strong proficiency in Microsoft Office Suite (Excel, Outlook, Word, PowerPoint).
- Experience with access control systems and basic safety procedures a plus.
- Strong organizational skills with attention to detail and the ability to multitask.
- Excellent interpersonal and communication skills.
Preferred Skills:
- Familiarity with ERP or plant operations software (e.g., SAP, Oracle, or similar).
- Basic understanding of manufacturing processes and plant safety protocols.
- Bilingual (English/Spanish) is a plus.
- Working Conditions:
- Mostly office-based with regular presence in production areas.
- May require wearing PPE and walking across the plant floor.
- Typical schedule: Monday to Friday, with occasional support during off-hours for events or emergencies.

COMPENSATION
• Competitive base salary commensurate with experience: $44,800 – $67,200 (subject to change dependent on physical location)
