Minimum Qualifications:

The Administrative Assistant II-SES should possess the following:

  • Four (4) years of administrative experience in a professional office setting; and
  • Two (2) years of experience working in a very sensitive and confidential environment 
  • Three (3) years of working knowledge of Microsoft Office Suite 
  •  Working in a very sensitive and confidential environment edge of Microsoft Office Suite.


***Preference will be given to those who can demonstrate one or more of the following: an interest in public service and human resources, a working knowledge of an electronic document records system, familiarity with state purchasing rules, experience managing a main phone line and/or experience working in a Human Resources Office.

 

The Work You Will Do:

This is a professional position responsible for assisting the managers in the daily operation of the Human Resources Office. The incumbent is responsible for assisting in all general areas of human resource management and specifically in personnel record management, recruitment and selection, learning and development and employee relations activities. Duties include but are not limited to:

  • Greeting and assisting visitors.
  • Answering the main Human Resources telephone line and routing requests for assistance.
  • Processing correspondence to and from management, staff and the public.
  • Assisting with the management and procurement of office supplies and copy services.
  • Responding to public record requests.
  • Completing employee verifications and file reviews; maintaining personnel records.
  • Receiving and processing personnel action requests.
  • Assisting the Human Resource Management team.
  • Assisting the Bureau Chief with tasks daily.
  • Obtaining information from the People First system.
  • Coordinating employee requests timely and in accordance with agency policy.
