Purpose/Description

Administrative Specialists 1 perform highly difficult, complex and responsible office work in various departments throughout Wayne County. Duties include, but are not limited to: handling complex public contact work, reviewing and processing documents for completeness, accuracy and conformance with required office practices.

Administrative Specialists 1 may perform in a team leader capacity over a moderately sized group of clerical employees, providing oversight and assistance in clerical activities. This position may perform difficult and responsible legal office work under general supervision with considerable independence and responsibility in carrying out work assignments.

Administrative Specialists 1 may be responsible for: preparing memorandums and letters/correspondence; maintaining and preparing personnel forms and records; assisting fiscal staff in preparing reports; handling confidential correspondence; data entry and processing; contacting other County departments and outside agencies and performing additional duties as assigned.

Required Tasks

  • Operate various office machines.
  • Answer telephones, direct calls, and take messages.
  • Maintain and update filing, inventory, mailing, and database systems, either manually or using a computer.
  • Communicate with customers, employees, and other individuals to answer questions, disseminate or explain information, take orders, and address complaints.
  • Open, sort, and route incoming mail, answer correspondence, and prepare outgoing mail.
  • Compile, copy, sort, and file records of office activities, business transactions, and other activities.
  • Compute, record, and proofread data and other information, such as records or reports.
  • Type, format, proofread, and edit correspondence and other documents, from notes or dictating machines, using computers or typewriters.
  • Complete work schedules, manage calendars, and arrange appointments.
  • Review files, records, and other documents to obtain information to respond to requests.
  • Inventory and order materials, supplies, and services.
  • Troubleshoot problems involving office equipment, such as computer hardware and software.
  • Perform other duties as assigned.

QUALIFICATIONS 

Educational/Experience Requirements

  • A High School Diploma or its equivalent; AND 
  • At least two (2) years of higher level clerical or other office administrative experience

Candidates may be considered for higher level positions based on additional years of experience.
 

NOTE: Equivalent part-time experience will be assessed and credited at the discretion of Department of Personnel/Human Resources. Completion of education at an accredited college or university may be substituted on a year for basis for the required clerical experience.

TYPES OF ASSESSMENTS A Written Assessment (100%) will be administered covering knowledge of basic math skills, general office practices, general clerical practices and procedures and related knowledge. A Performance Assessment (pass/fail) will be administered to evaluate data entry speed and accuracy (for positions at the Prosecutor’s Office only). Online virtual testing and testing at Wayne County Community College-Northwest Campus and the Guardian Building is available. 

Candidates must pass all tests in order to be placed on the eligibility list.

In the event that the number of eligible applicants is equal to or less than the number required for certification, the Department of Personnel/Human Resources may substitute for the above tests an evaluation of experience and training or other such tests as the Department may deem desirable to determine the competence of the applicants for appointment.

PURPOSE

The purpose of this examination is to establish an eligibility list from which to fill present and future vacancies. The eligibility list will remain in effect for one (1) year. 

This is a continuous examination and ranking on the eligible list will be subject to change as names are added to and removed from the list.

GENERAL INFORMATION

Pay Rate and Fringe Benefits: Appointments will usually be made at the minimum rate with annual increases where applicable. Payment is on a bi-weekly basis. Employ
