General Summary and Purpose: 

Victory Capital Management is seeking a highly organized and proactive Executive Administrative Assistant to provide high-level administrative support to our Chief Financial Officer, Chief Administrative Officer and Executive Vice President in our Boston office.  The ideal candidate will be responsible for handling a variety of office-related tasks, including clerical functions, communications, and office management duties. This role requires strong communication skills, attention to detail, and the ability to multi-task in a fast-paced environment.

You will report to the Strategic Operations Partner to CEO. 

You will:

  • Arrange travel plans including air, hotel, ground transportation and meal reservations.
  • Prepare expense reports and related documentation
  • Greet and assist internal / external customers ensuring they receive timely assistance and information. Serve as a point of contact for clients, vendors and team members, addressing inquiries and providing information as needed.
  • provide general administrative support, including answering phone calls, responding to emails and managing correspondence
  • Coordinate and schedule meetings and appointment for team members. 
  • Assist with the facilities function, including but  not limited to coordination building/office access cards, equipment needs and maintenance
  • Manage office supply inventory, ordering items as needed
  • Provide administrative support and backup to other team members and assistants as required
  • Assist with additional duties which include but are not limited to; mail distribution; processing expense reports; handling routine requests; and assisting with miscellaneous projects as needed

You Have:

  • Demonstrated success in previous C-level support.
  • Strong verbal and written communication skills.
  • Excellent organizational skills with strong attention to detail and ability to multi task.
  • Ability to maintain confidentiality and handle sensitive information.
  • Strong experience with Microsoft Office and other office software.
