Executive Assistant

We are seeking a highly organized, reliable, and proactive Executive Assistant to support our Leadership Team at our Corporate headquarters in Norwood, MA. This role offers a unique opportunity to contribute to key business operations in a dynamic and fast-paced professional consulting environment. Reporting directly to the Chief Administrative Officer, the Executive Assistant will play a pivotal role in ensuring the smooth day-to-day functioning of company operations.
Key Responsibilities:
- Provide high-level administrative support to Corporate Department Heads, the Operations Team, and other key staff.
- Coordinate and prepare materials for Leadership and Operations Team meetings; attend and record minutes as needed.
- Manage GZA’s Policies and Procedures on Navex platform.
- Maintain corporate content on internal platforms (e.g., SharePoint), including updates to personnel information.
- Manage and update corporate distribution lists on Microsoft Outlook and Teams in collaboration with IT.
- Maintain and coordinate the GZA Leadership Calendar.
- Draft, compile, and distribute internal corporate communications.
- Maintain and update the electronic Corporate Licensing Map.
- Coordinate logistics and provide support for company meetings and events.
- Arrange travel for corporate staff as requested.
- Support ISO program activities and compliance efforts.
- Provide administrative support during M & A activities.
- Co-administer internal platforms (WB Mason, Amazon Business, vendor qualification systems, Company Store, etc.).
- Support other corporate initiatives and cross-functional projects as needed in alignment with GZA’s “One Company” culture.
Qualifications:
- Associate’s degree + 4 years of experience, or bachelor’s degree + 2 years of experience is preferred.
- Demonstrated experience in an Executive Assistant role supporting senior leadership.
- Advanced proficiency in Microsoft Office Suite; familiarity with Deltek, SharePoint or similar business systems is a plus.
- Ability to learn new software programs efficiently and effectively.
- Exceptional organizational, project management, and multitasking skills with strong attention to detail.
- Excellent written and verbal communication skills.
- Professional demeanor and strong interpersonal skills.
- Must be a commissioned Notary Public or willing to obtain certification.
- Experience in the construction, engineering, or consulting industries is highly desirable.

- Strong analytical skills; familiarity with construction principles is a plus.
