Agency Description
The First Judicial District of Pennsylvania (“FJD”) is the Philadelphia County Court System and is composed of two courts: the Court of Common Pleas and the Municipal Court. The mission of the FJD is to adjudicate cases and provide services to the community within our jurisdiction while ensuring fair, timely, and accessible justice to the people of Philadelphia. The FJD is part of the Unified Judicial System reporting in to the Pennsylvania Supreme Court of Pennsylvania.
Job Description
This staff is responsible for clerical work serving as secretary to the Chief of the Criminal Listings Department.

Essential Functions
The following duties are normal for this position. These are not to be construed as exclusive or all-inclusive. Other duties may be required and assigned.
- Institutes/maintains a recordkeeping system for a variety of material requiring knowledge of departmental practices and procedures.
- Responsible for department time keeping.
- Serves in a liaison capacity when responding to correspondence from various departments or agencies.
- Answers incoming calls for requests of information, directs caller to appropriate department/agency, and addresses complaints if necessary.
- Schedules appointments and maintains calendar for the Chief of the Criminal Listings Department.
- Reads incoming correspondence, composes responses as directed, or if necessary directs to appropriate party.
- Performs secretarial functions such as maintaining office filing system, ordering supplies, preparing daily and/or monthly reports, and timekeeping.
- Update and maintain departmental records and contact information.
- Completes any projects or duties required by the Chief of the Criminal Listings Department.
MARGINAL FUNCTIONS
Performs related duties as assigned.

Competencies, Knowledge, Skills and Abilities
- Strong computer skills, able understand and utilize the necessary computer technology applications to maximize office efficiency such as Microsoft Office.
- Extensive knowledge of English grammar, spelling, punctuation, and arithmetic.
- Considerable knowledge of office practices, procedures, and equipment.
- Considerable knowledge of departmental rules, regulations, procedures, functions, and the ability to apply these to work situations.
- Ability to work independently on difficult or complex tasks.
- Ability to maintain clerical records and prepare accurate reports.
- Ability to exercise good judgment, courtesy, and care when dealing with the public and managing problems.
- Ability to establish and maintain an effective working relationship with co-workers, members of the judiciary, court administrators, attorneys, and the general public.
