Federal Reserve Bank of ChicagoAs the Senior Event Coordinator, you will be responsible for coordinating special events and Bank meetings and conferences. You will coordinate all logistics related to the functions and serve as the main point of contact to client and departments supporting execution of client requests and needs.The level of work required is considered advanced and you must be able to work under minimal supervision. You may lead or direct the work of others and may have direct reports.
Your Responsibilities:
- Proactively work with clients to fully understand program and event needs
- Proactively plans and executes special events and bank meetings and conferences by organizing all logistics related to facility and space selection, room set-up, audio-visual and technology needs, coordination of food and beverage needs, and liaising with the food service provider, attendee arrival and flow process, hotel room blocks, ground transportation, and related activities, in accordance with departmental policies and procedures
- Provide accurate and timely information to all departments for planning and execution, and liaise with departments to ensure all details and last-minute changes are addressed; monitors room set ups to ensure accuracy of client requests
- Provides exceptional customer service throughout the event coordination process and in all interactions
- Assist management with a variety of duties, which may include, but are not limited to, supervising workflow and delegation of daily activities, coordinating off-site events, providing staff training and guidance, assisting with the department budget and monitoring expenses and other projects within the hospitality services department
Your Background:
- High School Diploma or equivalent experience
- Minimum 5 to 7 years of direct conference/event planning and client service work related experience, plus supervisory experience
- Exceptional client service skills
- Demonstrated critical thinking and decision-making abilities
- Strong interpersonal skills with high degree of professionalism
- Strong written and oral communication abilities
- Excellent organizational skills
- Ability to work independently and as part of a team
- Ability to understand the department, Bank and client budgetary and expense constraints
- Must be flexible with demonstrated ability to work in a fast-paced environment, and be capable of managing multiple priorities
- Proficient PC skills with experience using MS Word, Excel, PowerPoint and Access Knowledge of audio/visual equipment
- Ability to negotiate contracts Position requires occasional morning coverage (early as 6:45a CST) or evening coverage (late as 5:45p CST) and require flexibility with work schedule to meet business needs including overtime, occasional evenings, and weekends
- Position requires extended periods of walking and standing

Additional Requirements:
- This is a hybrid position requiring a minimum of two days per week in office.
