Description
The HR Onboarding Specialist will manage the day-to-day onboarding function for the company as well as key initiatives and projects.
Overall, this role has accountability for providing a high level of service, supporting recruitment and leading onboarding activities. The role will work closely with departments to ensure a high level of satisfaction and positive experience. This position requires an extremely detail orientated person with significant knowledge of HR operations, including state and federal regulations.

Essential Job Functions :
- Manages all new hires and all employee/organization changes within the HRIS system Leads the post-offer process and onboarding process including but not limited to: background checks, pre-employment paperwork, verifications, reference checks, I9's, gathering new employee data and all hiring tasks Leads the new hire orientation facilitation for new hires and coordinates activities across multiple departments
- Provide support and training to Hiring Managers for all onboarding and new hire related requests/questions
- Assists with maintaining talent acquisition tools and technology
- Develops, documents and optimizes the end-to-end process for Onboarding
- Evaluates all pre-employment standards for new hire candidates for compliance to the pre-employment matrix
- Maintains and organize HR information including employee personnel files Respond to candidate questions regarding application status, system troubleshooting, employee referral status and other general questions
- Responsible for ensuring ongoing compliance with the overall I-9, E-verify, and E-Screen process, as required.
- Develops, runs and delivers various reports as requested by the HR team.
- Develops, maintains and optimizes the KPIs for time to clear and time to hire candidates
Education/Qualifications:
- Bachelor's degree preferred or equivalent experience in human resources
- 3+ Years of experience in recruiting or onboarding
- Bilingual Required
- Prior experience working with HRIS systems
- Prior experience managing 3rd party vendors
- M&A experience preferred
- Demonstrated compliance with federal and state regulations
- Excellent analytical skills with strong attention to detail
- Ability to organize and disseminate information efficiently.
- Multi-task in a fast-paced environment utilizing strong time management and prioritization skills
- Ability to make sound decisions independently on hiring practices
- Interact professionally with all levels of employees, customers, and vendors
- Effective written and verbal communication skills needed to work effectively across departments and with external parties
- Ability to handle confidential matters requiring discretion and sound judgment
- Ability to problem solve and drive for solutions including solutions that require sound change management strategies
- Intermediate knowledge of MS office application skills (Word, Excel, PP, Visio and Outlook)
