About the Role

We are seeking a highly process-oriented Operations Manager to lead and optimize the operational backbone of our immigration law firm. This role requires a professional who excels in designing scalable systems, implementing automation, streamlining workflows, and applying data-driven decision-making to ensure maximum efficiency and client satisfaction. You will bring an operational excellence mindset to legal services—breaking down complex workflows into repeatable, measurable, and improvable processes.

Work Modality: Full-time | On-Site

Pay: $80K - $100K

Key Responsibilities

Process Design & Optimization

  • Map, document, and continuously improve core legal and administrative processes (case intake, document preparation, filings, client communication, billing, etc.).
  • Implement process modeling frameworks (e.g., Lean, Six Sigma, BPMN) to identify bottlenecks and drive efficiency.
  • Standardize operating procedures and ensure adherence across teams.

Automation & Technology Enablement

  • Identify opportunities to leverage legal tech, CRM, and automation tools to streamline repetitive tasks.
  • Partner with IT and vendors to deploy and maintain workflow automations, ensuring seamless system integrations.
  • Establish a culture of innovation where technology supports service delivery.

Analytics & Capacity Management

  • Develop and track KPIs, dashboards, and operational metrics (throughput, turnaround times, error rates, utilization, capacity forecasting).
  • Conduct workload and capacity planning to optimize staffing and resource allocation.
  • Use data-driven insights to anticipate demand fluctuations and guide leadership in scaling decisions.

Quality Management & Compliance

  • Implement quality assurance frameworks to minimize errors, rework, and client escalations.
  • Ensure compliance with legal, ethical, and data security standards.
  • Regularly audit processes and systems for efficiency and compliance.

Team Leadership & Training

  • Build, train, and manage a high-performing operations team.
  • Foster a culture of accountability, continuous improvement, and client-focused service delivery.
  • Provide ongoing training to staff on workflows, systems, and best practices.

Qualifications

Experience:

  • 5+ years in operations management, preferably in professional services, legal operations, consulting, or other process-heavy environments.

Education:

  • Bachelor’s degree in Business Administration, Operations Management, Industrial Engineering, or a related field required; Master’s degree (MBA, MPA, or similar) preferred.

Certifications:

  • Professional certifications in Lean Six Sigma (Black Belt), PMP, CAPM, or Certified Manager of Quality/Organizational Excellence (CMQ/OE) are highly desirable.

Process Expertise:

  • Proven experience with process modeling, Lean, Six Sigma, or quality management systems.

Technology & Automation:

  • Hands-on experience implementing automation tools, CRMs, case management systems, or workflow software.

Analytics:

  • Strong command of data analysis, reporting, and capacity modeling.

Leadership:

  • Demonstrated ability to lead teams, manage change, and drive adoption of new processes and systems.

Industry Knowledge:

  • Legal operations or immigration law background is a plus, but not required. A mindset for operational excellence in legal service delivery is essential.

Language:

  • Bilingual in English/Spanish

  • Strong communication skills for cross-functional collaboration with attorneys, paralegals, and administrative staff.
