As the Executive Assistant at Liminal, you will be responsible for a broad range of administrative and executive support tasks to ensure the efficiency and productivity of our leadership team. You will act as a key liaison between our executives, clients, and internal teams, ensuring clear communication and seamless scheduling. You will also oversee office management, coordinating with building management and maintaining a well-stocked and organized office environment. Your role will involve managing special projects and assignments, making travel arrangements, processing expense reports, and providing a warm welcome to our office visitors.

Executive Support and Calendar Management
- Meticulously manage multiple executive calendars, coordinating meetings internally and with clients, ensuring all parties are informed and prepared.
- Provide personal assistance to executives as needed, including managing personal appointments, reservations, and other related tasks.
Meeting and Event Coordination
- Coordinate and manage follow-ups for meetings, ensuring action items are tracked and completed.
- Schedule, plan, and execute offsites and team events, coordinating logistics and ensuring successful outcomes.
Office and Administrative Management
- Oversee and maintain office supplies, ensuring the office is well-stocked and organized.
- Serve as the primary point of contact with building management, addressing any issues and maintaining a positive relationship.
- Perform a variety of administrative tasks, including travel coordination, processing expense reports, drafting correspondence, printing documents, and more.
- Manage and greet visitors to our office, providing a professional and welcoming experience.
Special Projects
- Assist with special assignments and projects as needed, providing administrative support to ensure timely completion.
Requirements
- Experience: Proven experience as an executive assistant or in a similar role supporting senior executives.
- Skills: Exceptional organizational skills, with a keen attention to detail and the ability to manage multiple tasks simultaneously.
- Communication: Excellent verbal and written communication skills, with a professional and friendly demeanor.
- Proactive Approach: Ability to anticipate needs and take initiative in managing tasks and projects.
- Tech-Savvy: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Suite (Docs, Sheets, Slides, and Gmail) and comfortable with learning new software tools.
- Problem-Solving: Strong problem-solving skills, with the ability to address issues independently and effectively.
- Confidentiality: High level of discretion and confidentiality when handling sensitive information.
- Flexibility: Ability to adapt to changing priorities and work in a fast-paced, dynamic environment.
- Education: Bachelor’s degree preferred, or equivalent experience.
