JOB DESCRIPTION AND POSITION REQUIREMENTS:

The Office of Industrial Partnerships - Corporate Engagement Center is seeking an Administrative Support Coordinator to support the unit, the Associate Vice President and the Assistant Vice President. 

Responsibilities: This position will have the following responsibilities:

  • Manage the administrative staff, including supervisory responsibility, establishing priorities, ensuring schedules are maintained and deadlines met, event arrangements are accurately organized as needed. 
  • Ensure that processes supporting the collaboration between the Department of Development and Alumni Affairs with the Office of the Senior Vice President for Research are identified and fully met. 
  • Provide support for various committee groups, including the Corporate Relations Committee, Corporate Engagement Advisory Committee, Corporate Engagement Center Extended Team Corporate Relations Committee, and others. 
  • Represent the unit at various meetings/activities with other internal groups, as well as those with sponsors and potential industry partners. 
  • Interact with, resolve issues, with internal and external groups, managing information exchange. Perform non-routine and confidential administrative duties, and proxy responsibilities as authorized in absence of Assistant Vice President, including other duties as assigned.
  • Provide scheduling support until other positions are filled.

This position will also include performing the following functions:

  • Manage budget preparation, interpretation and expenditures and reporting. 
  • Secure approval for financial transactions to include general operating funds, endowments and grant awards.
  • Ensure policies are in compliance related to purchases and reimbursements, and fiscal deadlines are met. Assist/lead on budget preparation for the unit, learn/train others in the use of SAP systems as needed. 
  • Provide support for special projects as assigned by both the Associate Vice President and Assistant Vice President, including but not limited to dissemination of funding opportunities to faculty and staff, monitoring and reporting on research awards.
  • Oversee departmental hiring, training / on-boarding of staff. 
  • Primary person for interfacing with Human Resources, and human resource matters in the unit.
