ABOUT THE JOB

The ACLU seeks a full-time position of HR Associate in the Human Resources Department of the ACLU’s National office in New York, NY.  This is a hybrid role that has in-office requirements of two (2) days per week or eight (8) days per month.

WHAT YOU'LL DO

Reporting to the Assistant Director, HR Operations & Compliance the HR Associate is the central hub of Human Resources Operations and plays a critical role in ensuring the smooth and efficient delivery of core people functions.  

YOUR DAY-TO-DAY

  • Serve as the first point of contact for general HR inquiries by managing the HR inbox, responding to routine questions, and directing more complex matters to the appropriate team members.
  • Process departmental expenses, including submitting invoices for payment, reconciling credit card transactions, and preparing expense reports as needed.
  • Enter and maintain employee data in the HRIS, including new hire details, status changes, and other updates as needed.
  • Manage and process requests to hire and requests to post job openings in alignment with organizational procedures.
  • Support pre-boarding and onboarding activities, ensuring a smooth transition for new hires.
  • Coordinate offboarding follow-up, including documentation, system updates, and exit logistics.
  • Contribute to a positive onboarding experience by assisting with the coordination of new hire orientation, facilitating orientation sessions, and ensuring the timely collection of new hire paperwork
  • Review and process incoming mail through DocuFree, ensuring documents are directed to the appropriate HR team member or relevant department within the organization.
  • Oversee the organization and maintenance of the physical file room while leading efforts to digitize employee records, ensuring compliance with data retention policies and enhancing document accessibility.
  • Provide administrative support by scheduling meetings and events as needed.
  • Other duties as assigned to support HR team’s objectives.

WHAT YOU'LL BRING

  • Experience providing administrative support in a fast-paced environment; prior experience or familiarity with HR functions is a plus.
  • Clear and effective communications skills with the ability to share information and build strong relationships across teams
  • Highly organized with the ability to manage multiple tasks and priorities simultaneously while maintaining strong attention to detail.
  • Strong follow-through skills with a track record of accountability and reliability.
  • Ability to handle confidential and sensitive information with discretion.
  • Proficient with technology, including Microsoft Office Suite (Word, Excel, Outlook, PowerPoint); experience with HRIS systems is a plus, along with a willingness to learn new tools and platforms.

COMPENSATION

The ACLU is committed to equity, transparency, and clarity in pay. Consistent with our compensation philosophy, there is a set salary for each role based on geographic work location. The annual salary for this position is $78,044, reflecting the salary of a position based in New York, NY. This position is subject to a hybrid schedule of 2 days/week or 8 days/month in-office.
