Our Sleep Laboratory located in Newark De is looking for a full-time Medical Office Assistant I is responsible for creating a friendly, welcoming, calm and efficient environment for the practice. The Medical Office Assistant I serves patients with poise and compassion, fields phone calls, answers patient questions, schedules appointments, registers patients, updates the EMR and represents the sleep laboratory every time there is interaction with a patient.

The responsibilities of the Medical Office Assistant I will include but are not limited to.

  • Schedules appointments with awareness of insurance, provider, and practice location
  • Greets and interacts with patients in a professional manner to collect required demographic and financial information. Processes/verifies referral information and eligibility for insurance reimbursement as needed.
  • Maintains confidentiality of workplace & patient information.
  • Collects payments according to insurance requirements.
  • Verify insurance coverage & coordinates referrals.
  • Performs day-end reconciliation of appointments & payments received.
  • Answer all phone calls in a professional manner and relays accurate messages.
  • Put messages in to provider(s) and respond to messages from provider(s).
  • Communicate with provider and staff through EMR.
  • Communicate with internal and external departments.
  • Keeps patients up to date on issues until resolution can be accomplished.
  • Facilitate testing, labs, appointments, etc for patients.
  • Prepares medical records to include scanning and indexing tests, reports, etc into patient charts as needed.
  • Responsible for researching issues and responding to the patient in a timely and professional manner.
  • Assists with copying, faxing, and general administrative support.
  • Performs assigned work safely, adhering to established departmental safety rules and practices; reports to supervisor, in a timely manner, any unsafe activities, conditions, hazards, or safety violations that may cause injury to oneself, other employees, patients and visitors.
  • Performs other related duties as required.

Office Hours:

  • Day Shift - 8:00am - 4:30pm (7:30am - 4p while training)

Qualifications:

High School Graduate or equivalent required.

Experience in a medical office setting is preferred.

Knowledge, skill, and ability requirements:

Knowledge of insurance carriers

Preferred knowledge of ICD, CPT Codes & Medical Terminology

Knowledge of physician office systems and practices

Ability to work with computers

Knowledge of referral process

handle a fast-paced environment with high activity

Physical demands:

Sitting with intermittent standing and walking, occasional bending and reaching, intermittent light lifting and carrying.
