Senior Administrative Coordinator - Global Procurement

We are looking for a Senior Administrative Coordinator who will primarily support the Senior Leadership Team within the Global Procurement organization. The role will be responsible for advanced calendar management, travel and all associated logistics to ensure Procurement leaders & teams can effectively carry out their high level business objectives. Given the business need, the incumbent will coordinate with internal & external partners as needed; and will play a key role in coordinating staff efforts within the department. This role demands superior client support & service skills in a highly proactive, professional, collaborative and efficient manner.
The role requires 4 days/week onsite, based at our Corporate offices in Sleepy Hollow, NY. This is not open to fully remote-based work arrangements.
A typical day might include:
- Proactively manages team calendars using a thorough understanding of department and leadership priorities. Anticipate the needs of leaders and teams in order to manage and problem solve all logistics with a larger scope and greater impact, if conflicts or updates occur.
- Fully responsible for logistics / execution of Department meetings and coordination with other Administrative staff and resources as needed. May act as point person to gather agenda items and may collect slides from multiple individuals in order to provide a complete slide deck and materials for meetings/events
- Takes the lead on the preparation and assimilation for new employees within the department(s), including coordination with IT, Facilities, and Procurement. Assists with department space planning and may assist in headcount tracking.
- Handles travel and expense reports for their clients, assists guests with travel, etc. where applicable.
- Applying an advanced knowledge of policies, procedures and resources and acting as a point person for leader(s)/department(s) taking the lead to raise potential continuous improvement efforts to current processes.
- Actively manages department contact lists/org charts. Proactively manages and updates content on department SharePoint sites and/or internal pages.
- Anticipate and make recommendations for catering meetings and events.
- Proactively works with other administrative coordinators to ensure coverage and continuity.

- A quick learner, and can cope and make good decisions despite change and ambiguity; skillfully handling risk and uncertainty with composure and can shift gears with ease.
- Comfortable working with all levels in the organization including senior managers. Understands how senior leaders think and what they expect.
To be qualified for this position, you must possess an Associates or BA preferred; 8+ years administrative experience with 4 years of Procurement, Supply Chain or related business function support experience. Experience within the biotech, academia, biopharma or pharmaceutical industry and for executive management is preferred. The ideal candidate is proficient knowledge and proficiency in MS Office, SharePoint, Concur and Microsoft Teams teleconference systems with the ability to assist with more advanced troubleshooting.
