About Us:

As we expand, we are looking for a Global Administrative Specialist & Office Coordinator Lead to take ownership of our office operations, executive support, and event coordination across multiple locations. This is a key role for someone who thrives in a structured yet dynamic environment, ensuring smooth operations and a professional, consistent workplace experience across all our offices.
About the Role
As Global Administrative Specialist & Office Coordinator Lead, you will own contract management for all office-related services, ensuring supplier agreements, leases, and office operations are efficiently handled. You will play a hands-on role, working on-site at our Kista office while overseeing the look and feel of all our Nordic offices, ensuring consistency in quality, functionality, and workplace experience.
You will also manage travel bookings, event planning, and larger internal meetings, ensuring seamless execution. From coordinating executive meetings and handling office-related projects to ensuring a well-functioning and welcoming office environment, your role will be critical in maintaining smooth day-to-day operations.
This is a role for a seasoned professional with 5–10 years of experience in office management, executive assistance, or administrative leadership, who has a passion for service, efficiency, and structure.
Key Responsibilities:
- Office Operations & Contract Management – Own and manage supplier contracts, leases, and service agreements across all offices.
- On-Site Office Management – Ensure a well-functioning and professional office environment, maintaining a consistent look and feel across all locations.
- Executive Support & Administration – Provide high-level administrative support to leadership, including meeting coordination, document handling, and scheduling.
- Travel & Event Management – Organize corporate travel, company events, and large internal meetings, ensuring smooth logistics and seamless execution.
- Workplace Experience – Ensure all atNorth offices reflect our company culture, are efficiently maintained, and provide an excellent experience for employees and visitors.
About You:
You are a highly organized and service-oriented professional, with a proven track record in office management, executive assistance, and contract administration. You thrive in fast-paced international environments, where attention to detail and the ability to multi-task effectively are key.
You take pride in creating structured and well-organized workspaces, ensuring office operations run smoothly while maintaining a strong sense of hospitality and professionalism. You are comfortable working with suppliers, handling contracts, and managing administrative projects that impact multiple locations.
You have excellent communication skills, a proactive mindset, and the ability to anticipate needs and solve problems before they arise. You are comfortable working independently while also collaborating across teams and locations.
Requirements:
- 5–10 years of experience in office management, executive assistance, or administrative leadership, preferably from a global environment
- Strong experience in contract and supplier management related to office operations.
- Fluency in English and Swedish (spoken and written)—English is the company language.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, SharePoint) and digital workplace tools.
- Project management experience in event planning, travel coordination, and meeting logistics.
- Proactive, solution-driven mindset, with strong organizational and time-management skills.
- Drivers license
