Job Duties

Provides administrative and program support to the Executive Director of the Board and members of Local and Regional Jails. Assists with the coordination of daily workflow ensuring office functions are carried out with attention to detail and a high level of responsiveness, confidentiality, and customer service. Facilitates necessary tasks and scheduling activities to ensure administrative flow. Manages files systems within the Unit and assists with procurement as needed. Responsible for coordinating travel arrangements, preparing travel reimbursements, and maintaining vehicle logs. This is an hourly position limited to working no more than 1,500 hours per agency during the 12-month period of May 1 – April 30, regardless of the hire date. The hourly employment period resets on May 1 of the following year. All hourly employees are limited to working no more than 29 hours per week on average over the 12-month period. This hourly position offers no state benefits.

Minimum Qualifications

High school diploma or equivalent; experience taking minutes and composing professional correspondence. Previous experience providing administrative support and handling confidential information.
Considerable knowledge of office practices and procedures, working knowledge of policies and procedures; ability to organize and prioritize important issues, and work independently. Skills in keyboarding and use of automated office equipment to accomplish office support requirements. Demonstrated ability to perform a range of support functions and to communicate effectively orally and in writing as well as interpretation of procedure. Demonstrated ability to handle multiple tasks and to maintain confidential information.

Additional Considerations

Administrative knowledge of what is required to support a Virginia state board including as it pertains to minutes, agenda, and parliamentary requirements.
Administrative experience in a governmental or law office setting. Post-secondary courses in office administration or equivalent training in a related field. Extensive administrative experience supporting senior level management.
