POSITION SUMMARY:
This position is in the Business Support Program (BSP), Office of Planning and Budgeting (OPB), Business Office. This is a full-time position in a business office that requires working with division and department customers. This position is responsible for purchasing, scheduling, and preparing multiple conference rooms, serving as the division’s training coordinator, and performing administrative tasks for multiple bureaus. This position requires excellent coordination and customer service skills.
DUTIES & RESPONSIBILITIES:
Specific duties include:
- Manage scheduling and preparation of multiple conference rooms;
- Maintaining office supplies for various bureaus in the division;
- Purchasing supplies and other routine items as needed for the division using a department purchasing card and online purchasing system;
- Assisting with vendor selection and pricing research for purchases;
- Assisting in the preparation for internal and external trainings;
- Answering incoming phone calls for the bureau daily from 8:00am until 5:00pm and coordinate phone coverage when not available;
- Coordinating and review all paperwork associated with federal and subgrant files; and
- Processing grant files for archive or destruction according to State of Florida records retention laws and agency policy.
KNOWLEDGE, SKILLS & ABILITIES:
- Knowledge of administrative principles, office procedures and practices;
- Knowledge of computer applications to support various administrative functions;
- Ability to collect, evaluate and analyze data relating to administrative functions such as accounting, personnel, purchasing or report writing;
- Ability to prepare correspondence and administrative reports;
- Ability to understand and apply applicable rules, regulations, policies and procedures;
- Ability to utilize problem-solving techniques;
- Ability to work independently and communicate effectively;
- Ability to plan, organize and coordinate work assignments; and
- Ability to establish and maintain effective working relationships with others.
