Under general supervision, performs administrative, operational and customer service work in support of the Division of Youth Development operations. The incumbent will coordinate a variety of administrative functions, assist with recruitment and onboarding activities, coordinate communication, assist with meetings and special events, and provide support the departmental programs and initiatives.
Examples of duties
- Coordinates daily administrative operations for the division.
- Assists with recruitment, onboarding, orientation, hiring documentation, and training logistics for the Norfolk Emerging Leaders Program.
- Supports the Executive Internship Program through recruitment tracking, orientation materials, participant records, evaluations, and intern presentations.
- Assists with participants registration, enrollment, and application processing; maintains confidential participant records; and supports the management of division databases to ensure accurate program documentation and reporting.
- Assists with purchasing and procedure processes, including securing quotes, preparing requisitions, and maintaining inventory of program supplies and equipment.
- Maintains calendars, schedules, meeting logistics, and event coordination.
- Assists with preparing reports, maintaining KPI data, assists with surveys, annual reports, and the Youth Impact Report.
- Coordinates communications with youth, families, worksite supervisors, schools, community partners, and City departments.
- Provides operational support for Youth in Government Day, Executive Internship Program, Teen Expo, Norfolk Youth Council, NEL orientations, recognition events, and other division initiatives.
- Performs related duties as assigned.
Qualifications
Work requires knowledge of administrative and office procedures. The preferred candidate will possess at least two (2) years of administrative support or related experience.
Proficiency in Microsoft Office Suite and other office/administrative software. Ability to maintain confidential information, communicate effectively both or orally and in writing, establish effective working relationships, and manage multiple priorities with accuracy and attention to detail.
Supplemental information
Work Schedule:- Up to 20 hours per week. Some evenings and weekends may be required.
