About the role

Job Description:

This Event Manager/Talent Buyer is responsible for assisting the Venue Manager with venue operations and for managing events at The Red Room @ Cafe 939, a multi-purpose performance facility. The Event Manager/Talent Buyer will act as a House Manager during events to ensure the safety and comfort of the audience and performers, coordinate hospitality, security, artist settlement, and supervise student ushers, box office, and event managers, as well as other event requirements/duties. Collaborates with Venue Manager/Talent Buyer and student staff to make decisions regarding programming. Negotiates talent fees and books events with national talent agencies as well as regional and local artists and their representatives. Also helps with scheduling the venue for events associated with college needs and initiatives. The position will also manage specific components related to operational and event logistics, event coordination, evaluations and general administrative duties.

Essential Duties and Responsibilities:

  • Act as House Manager to ensures the safety and comfort of event attendees and performers by preparing the venue, managing crowd control, troubleshooting complaints, monitoring Green Room activity, paying performers, enforcing college/safety/security policies and managing emergency situations, such as house evacuation.Documents all incidents and emergencies and follow up with Venue Manager.
  • Supervises student ushers, box office clerks, and artist liaisons during performances.
  • Helps to create training, education materials and workshops for student employees
  • Manages The Red Room @ Cafe 939 student office hours and event work schedules.
  • Meets regularly to discuss venue vision/mission with Venue Manager/Talent Buyer and student staff.
  • Implements and evaluates existing policies and procedures and makes recommendations to Venue Manager for improvements and staff training.
  • Formulates and implements training and guidelines for students and work-studies
  • Books talent, plans, advances and coordinates various aspects of scheduled events during the academic year as well as all breaks and summer semester.
  • Responsible for initiating, creating and executing events and programs that enhance the music community both campus-wide and nationally.
  • Designs and maintains the master venue database which streamlines operational and event processes: creating offers, executing contracts, tracking sales, production advance work and settlements.
  • Coordinates the security schedule, maintenance needs, and ADA requests for the venue.
  • Works with Ticketing and Patron Services Manager to monitor ticket sales and make recommendations for increased and focused marketing efforts.
  • Reconciles ticket sales and reports show attendance to Pollstar and Celebrity Access in a timely fashion
  • Assists in other Concert Operations performance spaces and at off campus events, as needed.
  • Other duties as assigned.

Knowledge and Skills Required:

  • 1-2 years experience in facility/event operations and management.
  • Demonstrated experience booking talent and maintaining working relationships with talent agents
  • Demonstrated knowledge of the current music and music industry trends
  • Demonstrated experience with and knowledge of concert audio, lighting and stage equipment and operations.
  • Demonstrated experience in house management, event security and crowd management.
  • General knowledge of safety and fire regulations and procedures as pertains to public facility management.
  • Certified in both First Aid Safety and CPR
  • General knowledge of box office and event settlement procedures.
  • Strong organizational skills and attention to detail required.
  • Strong supervisory skills.
  • Strong interpersonal and customer service skills.
  • Ability to manage multiple tasks and work independently.
  • Proficiency with both Macintosh and IBM computers and software.
  • Other information or comments:

  • Must be able to lift and move furniture and other equipment.

  • Must be able to work days, nights, weekends, holidays, and overtime hours as needed.
