OCCUPATIONAL SUMMARY

 

Plan, coordinate, and participate in the operation of the Inclusion, Diversity, Equity, Advancement and Leadership in the Sciences (IDEALS) office in the School of Medicine at Duke University. This position will report to the Associate Dean of Equity, Diversity, and Inclusion for the Basic Sciences and be responsible for planning methods and developing systems in accordance with the goals and objectives of the office.

 

Activities for the office are focused on the recruitment and retention of graduate students and postdoctoral scientists from underrepresented backgrounds in the basic sciences, and the development of workshops and materials for trainees, faculty, and leaders in the School of Medicine to enhance cultural competency and sensitivity to foster an inclusive, welcoming environment where everyone can thrive personally and scientifically.

 

WORK PERFORMED

 

  • Organize meeting space, materials, speakers, catering, programmatic activities including seminars/workshops, symposia, etc., and coordinate staff conference/work related travel as needed.
  • Assist in determining budgetary recommendations and requirements; monitor, verify and reconcile expenditure of budgeted program accounts.
  • Assist with managing calendar of the Associate Dean of Equity, Diversity, and Inclusion for the Basic Sciences
  • Develop and implement appropriate information/communication systems in support of the office including managing listservs or creating marketing materials such as event fliers. Provide adequate reference of data, documentation of procedures and processes and evaluation of program results.
  • Maintain communication with appropriate personnel, School of Medicine, University Departments and outside sources to obtain and provide pertinent information and to answer inquiries concerning program activities.
  • Plan and schedule work priorities in accordance with program goals and objectives and deadlines. Plan and execute the distribution of reports and information as required.
  • Compile and analyze information in support of program activities; prepare reports and analyses setting forth progress, adverse trends and appropriate recommendations and conclusions.

MINIMUM QUALIFICATIONS

 

Education

 

Work requires a broad knowledge of clerical and accounting principles and practices normally acquired through two years of post-secondary education in administrative support or a related business field.

 

Experience

 

Work generally requires three years of related secretarial/clerical experience to acquire skills necessary to administer complex office functions related to office management, communications, and budgetary/accounting activities.

 

OR an equivalent combination of education and relevant experience.
