Your Specific Responsibilities:

The incumbent is part of a global public health organization and is expected to support the Florida Department of Health in Pasco County in its mission to protect, promote and improve the health of all people in Florida through integrated state, county and community efforts and its vision to be the Healthiest State in the Nation. Furthermore, the incumbent is expected to incorporate the agency values of Innovation, Collaboration, Accountability, Responsiveness and Excellence in all aspects of their work.

This position is responsible for but not limited to the following items:

  • Coordinates internal and external meetings for the Epidemiology and Community Health Promotion Programs.
  • Ensures meeting announcements are clear. Prepares agendas and provides to attendees. Takes minutes of meetings and maintains official meeting minutes.
  • Responsible for daily administrative activities for DOH- Pasco Epidemiology and Community Health Promotion Programs and ensuring those activities are following DOHP-180-03 (Customer Focus Policy).
  • Activities may include but not limited to answering phones, taking complete messages, determining appropriate caller referrals (internal or external), receiving faxes, and disseminating to the appropriate staff, coordinating medical record request from facilities through phone, fax, or ELR, coordinate with epidemiology and DIS staff to mail letters to clients.
  • Assist with uploading information into client records in Merlin.
  • Assist with the scheduling of Rabies PEP clients including creation and upload of needed documents into HMS.
  • Maintain hospital and provider contacts list.
  • Track and monitor laboratory supplies, office supplies, and rabies PEP to ensure supplies are in stock and not expired.
  • Assist with the publication and dissemination of the Epi newsletter and Pasco in the Know newsletter.
  • Assists in the coordination of special event planning and marketing activities.
  • Assists in conduction of routine administrative activities and/or directing special projects or activities.
  • Attends regular Department and Division trainings and travel as needed, prepares travel request and paperwork for staff as needed.
  • Complete and submit time sheets, EARS, and travel correctly and according to established division and agency guidelines.
  • Maintain staff leave calendar for the Epidemiology and Community Health Promotion Programs.

This position provides administrative and technical support to the Epidemiology and the Community Health Promotion Programs. This position requires independent judgment, accuracy, flexibility, and the ability to work with minimal supervision. The incumbent will be part of the Health Protection & Response Division and is expected to promote service, cooperation, courtesy, and teamwork.

This position will consist of a variety of work including composing correspondence, memorandums, forms, and documents, reports, records, and notes; using the copy machine and scanner; filing and following oral and written instructions. Organize and review program data in preparation of reports and policies. Maintains current program information and policies.

Performs other duties as assigned.
