Sr. Patient Scheduling Coord

JOB SUMMARY:
Manages a specialty surgical care team, which includes at least two surgeons, APP, and RN support. Provides backup for all sub-specialty providers and ensures smooth daily operations during busy periods or absences. Team members maintain schedules to meet patient needs.

EDUCATION/EXPERIENCE:

• High school diploma or GED required.
• Three years of experience in a direct consumer services role with problem-solving skills under stress.
• Preferred experience: handling multiple calls in a stressful environment, working in a surgical specialty, and knowledge of medical terminology.

LICENSURE, CERTIFICATION, and/or REGISTRATION:

• Not applicable.

ESSENTIAL FUNCTIONS:

1. Answers specialty care team phone lines, maintaining low abandon rates.
2. Schedules patient appointments and studies, obtaining necessary authorizations and updating systems.
3. Orders and authorizes outside ancillary studies or therapy; ensures results are available before appointments.
4. Coordinates follow-up appointments with testing or treatment, ensuring results are in the system.
5. Facilitates physician-to-physician communication and schedules peer reviews.
6. Manages cancellations and reschedules appointments upon patient request.
7. Reviews digitized studies to ensure all images are accessible.
8. Schedules and pre-certifies ambulatory procedures, coordinating between residents and faculty.
9. Handles external referrals, completing follow-up as directed by providers.
10. Returns patient calls with follow-up instructions and schedules appointments as needed.
11. Trains less experienced staff.
12. Manages physicians' travel and academic calendars, recording time away accurately.
13. Handles urgent and emergent requests per guidelines.
14. Performs financial duties, including insurance authorizations and assisting with billing questions.
15. Performs other duties as assigned.

SKILLS/QUALIFICATIONS:

• Proficient in multiple computer software systems for data access and documentation.
• Self-motivated and able to work independently.
• Maintains a positive attitude when interacting with the public.
