The Senior Administrative Assistant performs a variety of clerical functions and office support activities for the assigned department(s) to facilitate the efficient operations of the office. 

CORE JOB FUNCTIONS                                                                                                             

Supports department and/or department leadership with daily clerical tasks. Collects, reviews, analyzes complex and/or confidential data and prepares reports, charts, budgets and other presentation materials. Responds to or routes non-routine, priority or confidential inquiries from external or internal sources with correspondence or other messaging on behalf of department leadership. Plans meetings and takes detailed minutes, as needed. Answers phone calls, provides information to callers, or connects callers to appropriate staff. Schedules appointments and updates calendars. Makes travel arrangements and reservations for department leadership and staff, as needed. Composes and types correspondence, such as informative materials; creates spreadsheets and presentations. Greets and provides general support to visitors. Develops and maintains department filing system. Adheres to University and unit-level policies and procedures and safeguards University assets.

Education:

High school diploma or equivalent

Certification and Licensing:

Experience:

Minimum 3 years of relevant experience

Knowledge, Skills and Attitudes:

  • General knowledge of office procedures and operations
  • Ability to accurately prepare and maintain records, files, reports and correspondence
  • Ability to communicate effectively in both oral and written form
  • Ability to maintain effective interpersonal relationships
  • Ability to process and handle confidential information with discretion
  • Skill in completing assignments accurately and with attention to detail
  • Proficiency in computer software (i.e., Microsoft Office)

DEPARTMENT SPECIFIC FUNCTIONS

The Department of Religious Studies in the College of Arts and Sciences has an exciting opportunity for a Part-Time Sr. Administrative Assistant to work in Coral Gables, FL.

This individual will provide administrative support for the Departments of Classics and Religious Studies. Provide staff support for academic, faculty affairs, and fiscal activities in the main office of the departments. Duties include: general office support, serving as primary receptionist greeting visitors, answering telephones, referring visitors to the appropriate person. Maintain bulletin boards, order office supplies and open facilities tickets. Assist with the planning of special events, guest speakers and visiting faculty programs.

General Office/Clerical Duties: 60%

  • Answer telephones, take messages, answer routine questions, and transfer calls to appropriate individual.
  • Greet visitors, handle their inquiries, or direct them accordingly to the appropriate person.
  • Compose correspondence and answer general e-mail inquiries.

Financial Assistant: 25%

  • Under the supervision of the Sr. MBO, prepare financial forms (Expense Reports, PO's, work orders, etc.) as needed by the departments.
  • Assist faculty with travel arrangements and reservations, as needed.
  • Provide assistance to faculty with general copying needs and projects.
  • Responsible for conducting and maintaining the inventory of the department’s supplies.
  • Assists with ordering clerical and office supplies.

Event Support: 10%

  • Provide support and assist faculty/staff with carrying out departmental events including conferences, symposia, workshops, lectures, etc. as needed.

Other duties as assigned: 5%
