About the role

The Special Events Assistant is responsible for support in the planning and execution of a variety of events for the organization. This role involves assisting the Supervisor, Special Events in the coordination of event logistics, liaising with vendors, and ensuring that all events run smoothly and efficiently. The position reports directly to the Supervisor, Special Events. 

  • Assist in planning and executing corporate events such as conferences, seminars, workshops, and networking events.
  • Coordinate with internal and external stakeholders to determine event requirements and objectives.
  • Liaise with vendors, including caterers, AV technicians, decorators, and venue staff.
  • Supports event logistics, including, but not limited to: registration, transportation, accommodations, and scheduling.
  • Helps to ensure compliance with all health and safety regulations during events.
  • Contributes to the preparation of post-event reports, including feedback analysis and recommendations for future events.
  • Maintains accurate records and documentation for all events.
  • Strong organizational and multitasking skills.
  • Excellent communication and interpersonal abilities.
  • Proficiency in event management software and tools.
  • Ability to work under pressure and meet tight deadlines.
  • Attention to detail and problem-solving skills.
  • Flexibility to work evenings and weekends as needed for event execution. 

Minimum Required Education: High School Diploma or equivalent 
Minimum Required Experience Type: 2 year's event planning and coordination; Healthcare event planning experience is a plus.
