About the role
Overview
Provides technical and administrative support for the site. Exercises initiative and judgment; expedites significant matters or refers them to appropriate authority.
Responsibilities
- Create, modify, and update databases / spreadsheets associated with the administration of the Maintenance Site, including payroll, accounting functions, etc.; including filing and records management systems; runs various ad hock reports as requested by management.
- Create and code invoices, customer collections; may be responsible for petty cash and/or company card
- Responsible for moving applicants to the appropriate statuses in the applicant tracking system, assisting with onboarding through the system and completing badging responsibilities in coordination with TSA.
- Interacts with internal and external customers and vendors in a professional manner.
- Exercises initiative and judgment during the absence of Supervision and Management to see that issues requiring attention are referred to delegated authority or handled in a manner designed to minimize the effect to their absence.
- Assist and/or coordinate travel arrangements for Managers and/or employees.
- Assist Supervision, Management and Human Resources with the administration of corporate policies / procedures including local record keeping, filing, reporting and tracking.
- Provides telephone reception for the Maintenance site.
- Compliance with ELS safety program policies and procedures.
- Maintain a valid driver’s license and be insurable under the Employer’s insurance policy.
- Perform additional duties/assignments as may be required by management.
- Punctual and regular attendance.
Qualifications
- Associates Degree or equivalent work experience of 3 years in an office environment
- Minimum 1 year experience accounts payable.
- Minimum 1 year experience working with payroll
- Minimum 1 year experience in customer related invoicing
- Proficient in Microsoft Office (Word, Excel, PPT)
- Ability to work a flexible schedule)
PREFERRED QUALIFICATIONS:
- Associates degree in related field and 3 + years Office experience
- Ability to multi-task in a fast paced environment.
- Knowledge of OSHA regulations
- Excellent communication, organizational
- 3 + years’ experience with HR processes/procedures, A/P, Payroll and Invoicing
- OSHA 10 or 30 Certification

Other Requirements:
- Must be able to read, write, speak and understand English.
- Must be able obtain and maintain an Airport Security badge
- Must have and maintain a valid driver’s license and be insurable under the Company’s insurance policy
- Must be able to comply with the ELS Drug and Alcohol policy.
