The Role

 

The Senior Project Coordinator is responsible for the administrative functions of a construction project office that works many jobs simultaneously for a diverse group of construction clients. Accountable for the completion, routing, and maintenance of various project documents and other clerical correspondence, including the processing of all subcontractor forms and documents.

 

Qualifications:

  • A minimum of 7 years’ experience as an Administrative Assistant, Operations Coordinator, Project Coordinator, or other similar job capacity; experience in the construction industry a plus but not required
  • Ability to prioritize workload and to work independently with minimal supervision
  • Must have strong math skills, knowledge of general accounting and bookkeeping processes desired
  • Knowledge of subcontractor payroll practices with experience with LCPtracker desired 
  • Must demonstrate a strong ability to:
    • Adapt and be flexible to frequent changes in a fast-paced work environment
    • Demonstrate integrity consistent with Centennial’s core values
    • Collaborate and work effectively in a team environment with people of various backgrounds and styles
    • Strong verbal and written communication skills, to include clear, concise, and professional presentation of information
    • Adapt to the constantly evolving world of technology, design, means and methods, systems may include but not limited to: Microsoft Office suite, ProCore, Adobe, and BlueBeam

 

Responsibilities:

  • Project Administration: Assist project team members in coordinating select project management tasks which may include reviewing project documentation, initial submittal review, logging and tracking; Liaison with Owner Representative on select portions of the work; Prepare forms for security access and form requirements; Type and send letters, memoranda, and reports as directed; Prepare minutes of project meetings; Coordinate and maintain physical and electronic project operations files; assemble closeout documentation; Answer telephones, route calls, and take messages; Route incoming and outgoing mail; Schedule appointments and meetings for project operations team; Verify accounting reports for accuracy; Input financial data and backup documentation into accounting systems.

 

  • Office Support: Order and replenish supplies for office; Greet visitors and direct them to appropriate persons; Perform other administrative duties as needed; arrange for maintenance and repair of office equipment; Materials tracking & quality control coordination; Provide administrative support to the project office in accordance with standard operating procedures within Centennial’s Operations and Administrative Manual.

 

  • Subcontractor Coordination: Prepare owner invoices and review subcontractor billings; Request subcontractor payments after invoice and supporting documentation is approved; Coordinate Subcontractor Communications; Obtain submittals from Subcontractors and Vendors; Act as Point of Contact to subcontractors on billing and procedural questions and provide Contracting Office with assistance as required; Review and distribute certified payrolls to subcontractor owners for process
