Position Purpose:

Ensures implementation and smooth operations of various HR processes and activities, including client service, recruitment and hiring, payroll verification, classification, onboarding and integration of new staff, performance evaluation management, and HR information system and database administration. Ensures policies, practices, timelines and procedures in place are communicated and applied, while explaining and advising on HR policies and the different collective agreements applying to support staff.


In this role, your responsibilities will include:

  • Managing HR-related operations: Co-ordinates and ensures smooth operation of administrative processes related to recruitment and hiring, including posting positions, screening applicants, organizing interviews, and onboarding and integrating new recruits. Provides administrative oversight of the staff life cycle, including probationary periods, performance management, leaves and departures. Working with the HR generalist, administers the Work-Study Program, including drafting and monitoring student contracts, to meet offices’ operational needs. Identifies and analyzes operational issues, and then recommends and implements appropriate solutions to increase process efficiency and effectiveness and improve service quality.
  • Information and client service: Informs and assists supervisors and support staff of various offices regarding HR-related questions, activities and processes, including issues concerning hiring, payroll, benefits, leave management, performance evaluation and professional development. Handles HR-related requests made by email, in person, by phone or through the HR information system (Workday).
  • Application of policies and regulations: Serves as a resource person on interpreting and applying collective agreements as well as University HR policies and procedures affecting support staff, including SSUO and PIPSC members, managers, non-unionized staff, casual staff and students participating in the Work-Study Program. Determines appropriate job category and status at the time of hiring, to ensure accurate coding of files and eligibility regarding applicable employment conditions.
  • Compensation and payroll: Handles contract requests and confirms information needed to draft job offer letters, according to staff group. Initiates, enters and monitors hiring processes in the payroll system, meeting strict deadlines and ensuring compliance with current policies and limiting administrative consequences for staff members concerned, such as continuous service, compensation and benefit issues. Verifies salary adjustments and retroactive payments stemming from ratification of collective agreements. Verifies payroll as well as data related to compensation and support staff positions. Liaises with the Faculty finance team and payroll services to report errors or anomalies observed and have them corrected
  • Report production: Extracts material and analyzes reports, both simple and complex, produced according to a fixed operational schedule or in response to one-time needs, to support ongoing HR activities as well as managers’ decision-making with regard to the strategic goals of various offices (reports concerning probationary period monitoring, end or renewal of contracts, salary adjustments, absences, demographics, etc.).
  • Liaison: Communicates and works closely with HR generalists, the finance team, the talent acquisition section, international employment and immigration services, supervisors and staff, to ensure information circulation, contract and payroll-related information validation and efficient file processing.
