Job Description:
The Senior Flight Dispatcher provides the scheduling and planning of all Domestic and International flights on aircraft operated by HPE and supplemental lift carriers while ensuring compliance with the General Operations Manual (GOM) and company policies regarding aircraft utilization. This person will foster and maintain excellent relationships with the flight department personnel, as well as all HPE support functions, executive offices and external industry and vendor partners.
Essential Responsibilities & Accountabilities
The Senior Flight Dispatcher is essential for scheduling and planning all business aviation flights for HPE. Acting as the main communication link between executive travelers’ offices and the functional areas within HPE Aviation, this individual provides concierge-level services throughout the entire trip process, from initial scheduling to post-trip follow-up
The Senior Flight Dispatcher focuses upon the efficient utilization of company aircraft and flight crews. They participate in flight operations planning and execution in a strategic, effective and efficient way that is compliant with all applicable regulations (including FAA, ICAO, EU, TSA, SEC, IRS, etc.)
Specific duties handled by the Senior Flight Dispatcher include coordinating departure and arrival airports, departure and arrival times, ensuring accurate flight manifests, crew assignments, Fixed Base Operations (FBO) coordination, customs and immigration coordination, TSA interface and approval, ground handling coordination and ground transportation.
The Senior Flight Dispatcher interfaces with the Inflight Services Coordinator, Chief of Maintenance, Chief Pilot and Director of Aviation as appropriate to ensure optimal aircraft and crew utilization.
Other Related Responsibilities & Accountabilities:
- Coordinates aircraft requests across multiple departments and functions in a multi-national environment.
- Actively involved in the continued development and deployment of the HPE Aviation Safety Management System (SMS).
- Coordinates approved travel requests with available aircraft and flight crew options.
- Coordinates aircraft downtime for maintenance with the Chief of Maintenance.
- Communicates aircraft schedules to appropriate flight crew personnel.
- Coordinates domestic and international trip information between Hewlett Packard Enterprise EC Members and /or their EAs and internal Hewlett Packard Enterprise functions to ensure seamless and responsive customer service.
- Coordinates fractional aircraft and charter services in accordance with Hewlett Packard Enterprise Aviation General Operations Manual (GOM) when required.
- Enters and maintains accurate flight-related data and information into flight scheduling system for record keeping purposes.
- Retains passenger manifests, flight logs and records in accordance with federal and international requirements and Hewlett Packard Enterprise Aviation guidelines.
- Participates as required in pre-flight briefings, trip contingency planning and post-flight trip reporting, including trip log sheets, debrief sheets, and trip cost reporting (fuel, catering, handling, other expenses incurred on-the-road).
- Ensures renewal of all aircraft customs decals, over-flight letters, landing permits and state and federal annual aircraft registrations.
- Coordinates all required landing and over flight permits, slots and visas for international trips with the trip Captain.
- Coordinates all passports, visas and letters of invitation with vendor handling agencies or directly as appropriate.
- Tracks pilot and flight attendant flight/duty time to ensure compliance with regulatory requirements and company guidelines.
