Job Summary
The Scheduling Coordinator is responsible for the prioritization and scheduling of patients, communicating details for the appointments, answering phones and directing calls appropriately, and assisting with the overall patient experience.
Duties and Responsibilities
- Gathers all detailed information for the patient’s record, such as type of exam, supplies, patient information etc. and confirms the accuracy of the information with the patient.
- Schedules patients for examination and provides instructions regarding exam preparation through EPIC.
- Coordinates emergency and add-on examinations with imaging staff and radiologists.
- Assists with pre-authorizations.
- Prioritizes patient examinations and coordinates multiple examinations with other areas.
- Monitors schedule for patients requiring additional labor considerations or other needs and coordinates with coworkers to ensure needs are met.
- Assists in organizing patient records.
- Acts professional in every situation with patients, coworkers and visitors.
- Represents the organization in a positive and professional manner.
- Focuses on overall efficiency, including maximizing appointment time and being proactive in communicating with patients, and minimizing downtime between patients.
- Answer phones and direct call appropriately, tend to the main voicemail line.
- Manages all scheduling through Epic.
- Ensure all documentation is complete and accurate prior to and upon arrival of patient’s appointment.
- Call next days’ patients for appointment confirmation.
- Fill out and mail out thank you cards.
- Manage all documents: check for accuracy, make copies.
- Actively engage in quality improvement activities.
- Perform other duties as assigned.
Requirements
Minimum Requirements
- High School Diploma or GED
- Able to communicate effectively in English, both verbally and in writing
- Healthcare experience
Preferred Requirements
- Bilingual, English & Spanish
- Current BLS certification
- Experience in radiology
Skills/Competencies
- Problem solving effectively and according to established practices with little direct instruction or supervision.
- Read, write, and comprehend simple instructions, short correspondence, and memos.
- Effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.
- Add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
- Basic Electronic Medical Record knowledge.
- Apply common sense understanding to carry out instructions furnished in written, oral or diagram form and deal with problems involving several concrete variables in standardized situations.
Physical Requirements
Perceive the nature of sounds by the ear, express or exchange ideas by means of spoken word, perceive characteristics of objects through the eyes, extend arms and hands in any direction, seize, hold, grasp, turn, or otherwise work with hands, pick, pinch, or otherwise work with fingers, perceive such attributes of objects or materials as size, shape, temperature, or texture; and stoop, kneel crouch, and crawl. Must be able to lift 50 pounds maximum and lift, carry, push, and pull objects weighing up to 25 pounds. Continuous walking and standing. Rare lifting of greater than 100 pounds.
