About the role

 

             

POSITION GOAL

Support the effective use of available human, capital, and financial resources by planning and scheduling work, creating cost estimates for in-house and contract-funded Physical Plant Operations projects, and monitoring the material, costs, workmanship, and timely and satisfactory completion of assigned projects.

ESSENTIAL PERFORMANCE RESPONSIBILITIES

The Scheduler, Physical Plant Operations shall carry out the performance responsibilities listed below: 

  • Meet with school principals and/or head facilities service persons to determine the scope of work, and schedule in-house or contracted work, and coordinate projects with school-based personnel to ensure minimal disruption to operations. 
  • Develop and record cost estimates of the work to be performed by performing site visits to gather estimating-related data in the field of expertise or arrange for same with a Scheduler proficient in the trade or trades required; contact vendors for estimates not included in contracts. 
  • Ensure the terms and conditions of contracts are met by overseeing contracted services provided by external staff for all School Board issued Physical Plant Operations projects. 
  • Input estimates to coordinate total work order package. 
  • Prepare and submit funding requests to the division funding specialist for review and approval. 
  • Ensure work proceeds as planned by coordinating with trade or vendor contact to conduct pre-trade or vendor project meetings to discuss and agree upon the scope of work; develop and coordinate trades’/vendors’ work schedules. 
  • Provide information related to performing and managing the assigned project by assigning and recording system-generated work control numbers, creating and forwarding to vendors “Notice to Proceed,” and providing applicable Florida Inventory of School Houses (FISH) maps to clearly indicate project location. 
  • Serve as liaison between Safety, Purchasing, Maintenance departments, Facilities department and project managers, as required, and external contractors to ensure smooth workflow and project completion. 
  • Monitor work progress, both by internal and contract staff, by performing on-site inspections, to verify completion of work performed. 
  • Ensure compliance with customers’ expectations, contract specifications, quality standards, and all applicable code requirements prior to approval of project completion. 
  • Develop and maintain detailed work and cost-related databases and hard-copy files for review and audit purposes; monitor backlog for new work orders/estimates. 
  • Receive, log-in, and process vendor invoices ensuring that all pricing, control, purchase order, and work order numbers are correct; monitor and verify invoice payments.

MINIMUM QUALIFICATIONS & EXPERIENCE

• A standard High School Diploma or satisfactory completion of an approved General Educational Development (GED) Testing Program.
• A minimum of seven (7) years of experience in the trade industry or in the field related to the title of the position.
Or
• An earned associate degree from an accredited institution.
• A minimum of five (5) years of experience in the trade industry or related field to the position.
Or
• An earned bachelor’s degree from an accredited institution.
• A minimum of three (3) years of experience in the trade industry or related field to the position.
And
• Computer skills as required for the position which includes the most recent software releases currently utilized within the department applicable to planning and scheduling.
