Position Summary:
Perform general administrative duties and provide excellent customer service to customers. Work in the scale room when needed and grade grain.
Duties & Responsibilities:
- Greet and direct all visitors, customers, and vendors at the reception desk. Ensure sign in/out logs are adhered to. Know the rules and process for handling visitors from the EPA, OSHA, and federal railroad administration.
- Answer phone – must be answered by the third ring.
- Responsible for administrative duties; phones, filing, mail, Excel spreadsheets, etc. Assist other departments as needed. Not limited to these mentioned duties.
- Relay communication between vendors, visitors, customers, and deliveries to the corresponding other departments within the plant.
- Responsible for knowing safety rules and procedures and explaining them to all visitors, vendors, truck drivers and delivery personnel. Report violators to the General Manager and/or the Safety Manager.
- Responsible to work and learn all aspects of scale room as the Scale Operator. This includes weighing trucks in and out. Running a probe to take corn samples and grading corn. Will need to take class to be certified as a grain grader. Must learn all aspects of the scale room including the administrative duties with BOLS and worksheets. Will be covering scale room daily to cover lunch time and time off for scale operator.
- Learn and understand computer software programs (ETS, Agvantage, Outlook, etc.) that are used to run our business.
- Responsible for invoicing customers and following all special procedures that are set up for individual accounts. Preparing and recording deposits that are created from invoicing products.
- Back up the Office Manager on processes they deem necessary during their time off.
- Responsible for packaging and setting up shipments using UPS, FedEx or any other carrier that is being used.
- Other duties as assigned by the Office Manager.
Knowledge, Skills & Abilities:
- Skilled in the use of Microsoft Office (Outlook, Word, Excel)
- Strong clerical and administrative skills.
- Excellent interpersonal, communication and organizational skills.
- Strong attention to detail, organized, and goal oriented.
- Ability to switch tasks quickly and follow verbal or written instructions.
- Ability to make quick and accurate decisions.
- Ability to work in a fast-paced environment and be able to multi-task.
Qualifications:
- 1 to 3 years of experience in administrative assistant, equivalent combination of education and experience will be considered.
- Above average Microsoft Office and typing experience, preferred.
Working Conditions & Physical Requirements:
- This position operates in a professional office setting.
- Must have the ability to sit and stand for long periods of time.
- Must have the ability to stoop, bend and reach above head on occasion.
- Must have the ability to deal with difficult customers while maintaining a professional demeanor.
