Key Responsibilities
Executive Support (VP of Sales & Marketing)
- Manage the VP’s calendar, meetings, travel arrangements, and schedule prioritization.
- Prepare presentations, reports, and executive-level communication materials.
- Track deliverables, action items, and follow-ups to ensure deadlines are met.
- Coordinate internal and external meetings, including agendas, minutes, and logistics.
- Support both Marketing and CRM utilization from an administrative perspective
Sales Team Support
- Provide day-to-day administrative support to the sales organization, including meeting coordination, training logistics, document preparation, and communication support.
- Assist with onboarding new sales team members and ensuring smooth integration with systems, processes, and team workflows.
- Support customer follow up and management escalation as necessary
CRM Support & Data Accuracy (Critical Skill Area)
- Perform routine CRM updates, data entry, and basic pipeline maintenance to ensure accuracy and alignment with company processes.
- Run simple reports and dashboards for leadership as requested.
- Support CRM data entry and management
- Guide team members on CRM usage, best practices, and data standards
- Help monitor compliance with sales processes within Salesforce (or equivalent CRM) to maintain consistency and data integrity.
- Support the VP in analyzing trends, forecasting inputs, and account activity by preparing CRM-driven summaries and extracts.
Operational Coordination
- Assist with coordination of sales events, customer visits, trade shows, and marketing activities as required.
- Maintain organized digital and physical filing systems, shared content libraries, and team resources.
- Support cross-functional projects and communication between sales, marketing, operations, and customer service.
Qualifications
Required
- 3+ years of experience in sales support, administrative support, or similar roles.
- Strong, hands-on experience with CRM systems — Salesforce strongly preferred (others acceptable with ability to quickly learn and adapt).
- Experience working with a medium-sized sales team (10–40 members).
- Excellent communication skills and strong attention to detail.
- High proficiency with Microsoft Office (Excel, Outlook, PowerPoint, Word).
- Ability to manage multiple priorities and work effectively under deadlines.
Preferred
- Experience producing basic CRM reports and summary exports.
- Previous support experience for Sales or Marketing leadership roles.
- Experience with ERP or quoting/order management tools.

Sales Administrator Working Conditions:
Includes working primarily in an office setting, with occasional assignments outside the office. This position may require a flexible schedule if there are training events or customers in the building on an occasional basis. The role is a full-time onsite position.
