Why this role matters

The primary function of this role is to project manage sales. This includes monitoring and tracking all activities and elements related to incoming property and sale processing for both auction and private sales.  The Sale Coordinator manages the catalogue production process, ensures deadlines are met, manages client paperwork and charges and ensures compliance requirements are met.  The Sale Coordinator is the primary contact for sales with Operations and acts as client liaison to gather or dispatch consignment and property related information.

How you'll make an impact

  • Request seller agreement and stock order creation and manage and track status of consignment paperwork to ensure compliance requirements are met and required records are maintained

  • Create shipping requests, obtain client approvals and flag need for export licenses

  • Proactively track receipt of property and follow-up on open issues and missing items

  • Manage catalogue production process including monitoring progress of cataloguing, photography, essay writing, lotting up, compliance, rights and permissions to meet deadlines; act as main point of contact and liaison with photography studio, production teams and Specialists

  • Act as liaison to Operations for sale view and set up and prepare relevant assets, as required

  • Manage Expertise, Framing and Restoration needs for sale including quote requests, client communications and related client charges, and obtaining necessary cost approvals

  • Request Property Movement including site transfers, local transfers, temp releases, transfer to third party, and hand carries

  • Request client charge creation and regularly review system data to ensure accurate reporting

  • Manage sale activities including managing reserves, client views, condition report dispatch, client interest lists, bids, and sale registration requests; troubleshoot sale related issues as they arise

  • Telephone bidding

  • Liaise with Business Support Group, Post-Sale Service Center, and Client Accounting as required

  • Coordinate and schedule head of department specialists travel

  • Reconcile and submit corporate card expenses for approval using internal system

  • Coordinate Private Sales and Private Selling exhibitions, working closely with the Private Sales Team and Private Sales Business Manager

What you’ll bring to the team

  • Undergraduate degree required

  • 1+ years’ work experience

  • Exceptional client service skills including strong verbal and written communication skills

  • Strong project management skills including ability to multi-task, prioritize and manage multiple processes

  • Strong attention to detail and follow-up skills

  • Excellent communication and interpersonal skills, including superior written and spoken communication.

  • Ability to remain calm and project a positive attitude during stressful situations

  • Ability to creatively problem solves

  • Ability to work independently and as part of a team

  • Strong systems expertise in Outlook and Microsoft Office

  • Ability to learn Christie’s systems including COS, JDE, Canvas, Intranet and Website/App
