Registration Data Specialist

POSITION PURPOSE

Supports Registrar office operations performing daily data entry transactions including course registrations (add/drops/withdrawals), transcript processing, degree/enrollment verification, grade changes, course scheduling and entry of transfer course data and any other academic record data entries.

Responsible for incoming transfer evaluations and degree conferral of all residential campus students. Supports operational functions of the Registrar's office.

ESSENTIAL FUNCTIONS

Transfer Data-Residential Students

• Receive all official paper or electronic transfer evaluations of incoming new/transfer students across programs.

  • Enter all incoming transfer school data to students' academic records.

• Create official transfer evaluations for incoming residential transfer students.

  • Stay current on course equivalency rulings and process for acquiring a ruling for a new incoming course.

Degree Conferral Duties-Residential Students

• Ensure residential students declared major and advisor assignments correctly entered in SIS system.

• Conduct academic progress audits and verify residential program students are eligible for degree conferral. Approve student participation in annual graduation ceremony.

• Assist with creation of the documentation about academic programs used in creating transfer guides with sending institutions and specific articulation agreements.

Course Registration

• Monitor incoming independent study requests and Handshake workflow requests for experiential and individual learning enrollments.

• Verify enrollment meets policy and/or practice guidelines. Perform follow-up communications if required.

• If enrollment request meets all policy and practice criteria, enroll student.

• Enforce course pre and co-requisites.

• Monitors wait lists for residential campus and move people into course openings.

• Assist with registration of specific course populations (CAPP, ECC, SUST, UCC).

Transcript Receipt and Production

• Monitor incoming transcript orders and transactions via third party vendor Parchment

  • Create and upload electronic transcripts.

• Troubleshoot transcript orders and relay issues related to transcript processing to vendor.

• Support Registrar staff with the retrieval of electronic transcripts sent to Lakeland University.

• Key transcript receipt data information for each student candidate/record.

• Assist both Registrar and Associate Registrar with other add/drop/withdrawal forms submitted and complete transactions following established procedures.
