Job Description
Summary:
There is an opportunity for a critical thinker to act as an intermediary between Research and cross-functional business partners to support contracting and ensure efficiency in the process from request to execution.
The Project Management Associate I is expected to be collaborative, understand contracting and procurement processes, have high integrity, and be willing to have potentially uncomfortable conversations to keep Research compliant with enterprise policies and procedures.
- Understands the contracting process and is able to support Scientists from the request to execution: Can work with both internal and external requesters in a professional, service-oriented manner, determine if Legal review is needed and coordinates the review. These may include simple to more complex agreements (e.g., funded research agreements, material transfer agreements, confidentiality agreements, work orders, licensing, and consulting agreements).
- Oversee the contract lifecycle from intake to execution, renewal, and termination, ensuring proper documentation throughout.
- Knows and applies procurement processes and tools and onboards new suppliers to Gilead systems.
- Is proactive, communicates clearly and concisely, and able to influence without authority to ensure processes run smoothly and efficiently.
- Collaborate cross-functionally (Research, Legal, Procurement, Ethics & Compliance, IT, external stakeholders and vendors) to align contract execution with organizational processes and expectations.
- Actively participate in training initiatives that span both the Research organization as a whole and individual departments and must be comfortable presenting to large audiences.
- Is able to work in ambiguous situations, sometimes without known precedence, and able to think critically to implement effective solutions.
- Knows and advises Stakeholders about contract types and compliance.
Basic Qualifications:
- High School Diploma and 5 years' experience OR Bachelor's Degree and 2 years' experience.
Preferred Qualifications, Skills and Experience:
- Attentional to detail, organized and thorough.
- Self-motivated with a strong sense of ownership.
- Clear and effective communication.
- Highly analytical and a resourceful self-starter with problem-solving and critical thinking skills.
- Ability to work collaboratively; experience communicating with external vendors is highly preferred.
- Strong proficiency with Microsoft Office tools (e.g., Outlook, Excel, PowerPoint, Word, and Teams) and procurement systems is highly desired; analytical and reporting skills are a plus.
- Technical competence: savvy with technology and processes.
- Previous experience in biopharmaceutical industry is a plus.
