The role is inherently client facing, acting behind the scenes as a trusted partner to customer program managers. With the ability to identify issues, research solutions, and offer recommendations, the successful candidate will help drive projects and programs toward successful completion.

Essential Job Responsibilities

  • Serve as the operational bridge between program management, planning teams, project teams, and line management.
  • Review project status, manage schedules, track budgets (including billing and financial services), and prepare periodic status and variance reports.
  • Identify risks and issues early, then research and recommend solutions to mitigate or resolve them, ensuring projects meet productivity, quality, and client-satisfaction targets.
  • Coordinate and schedule meetings, conferences, trainings, and other project-related events; prepare collateral including agendas, reports, presentations, and other necessary materials.
  • Receive, screen, log, and route correspondence; document key decisions and action items from meetings; and maintain follow-up systems for tasks and deadlines.

  • Manage scheduling of spaces, IT equipment, and other resources; support staff/subcontractor onboarding and lab support requirements.
  • Maintain and manage Office 365 environments—including SharePoint Online, OneDrive for Business, and Teams—ensuring smooth operation and compliance with security standards.
  • Handle procurements as needed and compile metrics and such monthly status reports, ensuring deliverables are both on time and meet HII quality standards.
